Job summary

Jobtailor in Portland, Oregon seeks a capable administrative professional to provide high-level support to Centralized Access Services’ Supervisors and leadership. You will coordinate meetings, prepare HR forms, and assist with onboarding for new employees in a fast-paced health services setting.

You will manage timekeeping for over 100 employees, handle mail and in-person operations at Marquam Plaza, and support employee engagement initiatives while ordering supplies and maintaining office

Qualifications

  • Two years of general office or secretarial experience; OR an Associate’s degree or certificate in office occupations or office technology and one year of general office or secretarial experience; OR a Bachelor’s degree and one year of general office or secretarial experience; OR an equivalent combination of training and experience
  • Successful completion of a formal OHSU Administrative Internship Program may substitute for one year of experience
  • Extensive computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint, Access, Outlook) and Windows
  • Excellent customer service skills
  • Ability to multitask in a fast-paced environment
  • Detail-oriented with good organizational skills
  • Excellent written and verbal communication skills
  • Good grammar skills
  • Demonstrable record of reliable attendance, punctuality and successful performance at past and present employers
  • Ability to work both independently and as part of a team
  • Advanced knowledge of Microsoft Teams and Smartsheet
  • Ability to perform computer work for several hours and use office equipment
  • Ability to sit continuously for up to 8 hours per day, change position, and walk intermittently 2–4 hours per day
  • Ability to carry and lift up to 25 pounds intermittently

Responsibilities

  • Complete timecard edit requests and review timecards for accuracy
  • Serve as point person for employee timekeeping questions and requests
  • Track attendance, occurrences and leave
  • Act as backup or joint support for general office duties and other administrative staff within Ambulatory Services
