Job summary

Jobtailor is seeking an experienced Operations Supervisor to oversee daily office functions in a medical setting. You will lead clerical staff, coordinate scheduling, and ensure accurate payroll and timekeeping while supporting the manager in staffing decisions.

Ideal candidates bring strong Microsoft Office skills, proven leadership, and the ability to prioritize multiple tasks with excellent communication.

Qualifications

  • High school diploma or GED required.
  • Proficient knowledge of Microsoft Office programs, including Word, Excel, and PowerPoint.
  • Excellent communication skills.
  • Ability to prioritize multiple tasks.
  • 1–2 years of related experience as a team leader or supervisor with 6 years of progressive, related experience, preferably in a medical setting.

Responsibilities

  • Oversee department processes and ensure effective daily operations.
  • Supervise office staff, including registration, clerical, administrative, and unit coordinator positions.
  • Manage workflow and delegate duties.
  • Assist the manager with interviewing, hiring, training, and performance evaluations.
  • Provide leadership, direction, coaching, and training to staff.
  • Assist with daily operational needs and attend meetings in the manager’s absence.
  • Act as a resource and escalation point for staff, physicians, employees, and managers.
  • Oversee time sheets and payroll when applicable.
  • Coordinate office functions including patient scheduling, physician coverage, phone answering, patient intakes, appointment confirmations, and daily patient charge entry.
  • Maintain databases, projects, or programs as assigned.
  • Generate reports and perform miscellaneous duties as requested.
  • Perform duties with focus on safety, quality, and efficiency as a High Reliability Organization
