Job summary

clearwavementalhealth in Middletown, NY is seeking a full-time Clinical Support Specialist to coordinate TMS treatment schedules and support patients through the process. You will handle phone education, insurance verification, and appointment coordination, while assisting with EMR documentation and post-treatment notes.

The role emphasizes strong communication, confidentiality, and accurate data handling, with on-site duties in Middletown and occasional Saturdays.

Qualifications

• Two or more years in a customer or patient-facing role preferred
• Health care clinical professional experience preferred but not required
• Experience addressing patient medical conditions or symptoms; basic life support cert preferred

Responsibilities

• Coordinate patient schedules for TMS treatment
• Provide support during treatment to patients with depression or anxiety
• Troubleshoot patient comfort, coil contact and system setup during treatment
• Administer psychiatric rating scales and assist patients with completing scales
• Answer calls to educate patients about TMS, collect payments, verify insurance
• Schedule patients and manage new patient appointments and follow-up visits
• Administer TMS treatment per Psychiatric Protocol (training provided)
• Monitor patient experiences during care

Minimum Qualifications

• Health Care Clinical Professional experience preferred but not required
• Two or more years of related experience in a customer or patient-facing role

Experience

• Proficient in Microsoft Office with exposure to some data management software experience
• Experience addressing any patient’s medical conditions or symptoms, including basic life support certification
• Experience with operating a medical/mechanical device

Responsibilities

• Coordinate patient schedules for TMS treatment.
• Provide support during treatment to patients struggling with depression or anxiety.
• Troubleshoot and resolve issues with patient comfort, coil contact, and TMS system setup throughout treatment.
• Administer psychiatric rating scales and help patients on completion of scales.
• Answer incoming calls to educate prospective and incoming patients regarding TMS treatment, collect payments, verify patient insurance.
• Schedule patients, coordinate new patient appointments and follow up visits.
• Administer TMS treatment based on specific Psychiatric Protocol (we provide all necessary training).
• Monitor all aspects of the patient experiences during patient care.
• Schedule and write patient notes in EMR system.
• Work with insurances on necessary prior authorization of treatment.
