Job summary

UCSF is seeking a Manager of Talent Portfolio Management to serve as the operational hub for the Office of Organizational Effectiveness. You will coordinate projects across four capability pillars—Develop, Systems, Optimize, and Innovation—and partner with HR Strategy, Operations and Analytics to align reporting and execution.

You will maintain an integrated talent calendar, oversee executive reporting, and support governance and offsite planning to ensure consistent delivery of enterprise

Qualifications

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Minimum 5-7 years of related experience.
  • Advanced knowledge of common organizational-specific and other computer application programs.
  • Strong communication and interpersonal skills to communicate effectively with all levels of staff and influence, both verbally and in writing.
  • Ability to use discretion and maintain all confidentiality.
  • Advanced project management skills.
  • Thorough knowledge of organizational or initiative processes, protocols and procedures.
  • Ability to multi-task with demanding timeframes.
  • Advanced knowledge of applicable policy analysis techniques.
  • Advanced analytical / problem-solving skills.

Responsibilities

  • Manage the Office of Organizational Effectiveness portfolio of initiatives across Leadership Development, Organizational Systems, Organizational Optimization, and Innovation.
  • Maintain project plans, timelines, dependencies, and dashboards to ensure priorities remain aligned, visible, and on track.
  • Identify risks, coordinate mitigation strategies, and provide leaders with timely updates on portfolio progress.
  • Leverage Smartsheet and Service Now to create executive reports, dashboards, and portfolio summaries that communicate progress, outcomes, and key organizational effectiveness metrics.
  • Partner with HR Strategy, HR Operations, HR Communications, HR Analytics, and other stakeholders to align reporting with enterprise priorities and leadership needs.
  • Monitor portfolio performance and recommend opportunities to improve execution and organizational impact.
  • Coordinate the operational rhythms of the Office of Organizational Effectiveness, including portfolio reviews, planning cycles, and departmental workflows.
  • Establish and maintain consistent project management practices, documentation, and governance processes that improve execution across the department.
  • Support resource planning, work prioritization, and cross-functional coordination to ensure successful delivery of strategic initiatives.
  • Develop and maintain an integrated enterprise calendar of talent and organizational effectiveness activities, including leadership development, learning offerings, performance management, employee recognition, engagement initiatives, and other key programs.
  • Coordinate scheduling across teams to create a cohesive experience for leaders and managers while minimizing conflicts and improving participation.
  • Ensure talent initiatives are sequenced and communicated in alignment with organizational priorities and annual business cycles.
  • Serve as the communications liaison for the Office of Organizational Effectiveness by coordinating how managers and leaders learn about upcoming programs, initiatives, and opportunities.
  • Partner with Communications, HR, and Organizational Effectiveness leaders to develop clear, timely, and consistent messaging that increases awareness, participation, and adoption.
  • Maintain communication plans and channels that provide managers with a comprehensive view of talent and organizational effectiveness offerings throughout the year.
  • Plan and manage the operational execution of Office of Organizational Effectiveness offsites, retreats, planning sessions, and other functional gatherings that support team alignment, collaboration, and strategic planning.
  • Coordinate venue selection, logistics, agendas, materials, technology, vendor relationships, and participant communications to ensure seamless execution.
  • Partner with department leaders to develop annual offsite calendars and support experiences that strengthen team effectiveness, planning, and organizational culture.
  • Manage budgets, contracts, and operational details associated with departmental events, ensuring efficient use of resources and a high-quality participant experience.
  • Identify opportunities to continuously improve the planning and execution of functional meetings and offsites to enhance engagement and business outcomes.
