Job summary

Job Title: Talent Operations Specialist

Location: Palo Alto CA 94304 United States ( Hybrid )

Duration : 12+ Months (Higher Possibility of extension & conversion )

Pay-range: $41 to $42/hr.

About the Role:

The People & Talent Operations Coordinator is responsible for ensuring smooth, accurate, and compliant HR operations across contingent workforce management and employee onboarding.

The role serves as a key point of contact for hiring managers, internal stakeholders, staffing agencies, and vendors. The coordinator manages the full lifecycle of temporary and contract workers, maintains accurate HRIS/VMS records, coordinates vendor activities, and provides reporting on workforce utilization and costs.

The position also supports pre-employment compliance, including background checks, employment eligibility verification, and Form I-9/E-Verify processes. The role requires strong attention to detail, confidentiality, organization, and the ability to manage a high volume of requests in a fast-paced environment.

Key Areas of Responsibility

• Manage onboarding, tracking, and offboarding of contingent/contract workers.
• Maintain accurate worker information in HRIS and VMS systems.
• Coordinate with staffing agencies and external vendors.
• Support hiring managers with contingent workforce questions, access issues, and operational requests.
• Prepare workforce metrics and reports related to utilization, costs, and contract tenure.
• Coordinate background checks and resolve or escalates discrepancies.
• Manage I-9 and employment eligibility verification workflows within required timelines.
• Partner with Talent and & Employee Onboarding teams to provide operational coverage.
• Handle sensitive employee information; high level of confidentiality.

Ideal Candidate

The ideal candidate has 2-5 years of HR, Talent, or People Operations experience, strong administrative and organizational skills, and hands-on experience with HRIS/VMS systems. Familiarity with Workday, ServiceNow, Jira, or Smartsheet is beneficial.

They should be comfortable working independently, managing competing priorities, communicating with multiple stakeholders, and operating in a fast-changing environment. Strong Google Workspace skills and experience with background checks and I-9 processes are also important.
