Job description

We are seeking an experienced HR Analyst to coordinate end-to-end preboarding and onboarding activities for employees and contingent workers within a highly regulated environment. This role serves as a central point of coordination across multiple teams to ensure a seamless, compliant, and operationally ready onboarding experience. The HR Analyst will oversee onboarding activities, monitor case progress, and support workforce readiness from preboarding through Day 1, ensuring all requirements, including documentation, employment verification, and system access, are completed in accordance with company policies, regional standards, and operational procedures. This position supports regional business needs while promoting compliance, operational efficiency, and audit readiness.

Key Responsibilities
  • Coordinate comprehensive preboarding and onboarding activities for employees and contingent workers using designated HR and onboarding systems, ensuring compliance with company policies and regional requirements.
  • Launch onboarding workflows and monitor case progress to ensure timely completion of all required activities and milestones.
  • Track onboarding status and proactively manage outstanding items, follow-ups, and escalations.
  • Serve as the primary point of contact for candidates, contingent workers, hiring managers, and onboarding partners throughout the onboarding process.
  • Provide onboarding support aligned with regional requirements and time zone considerations across multiple business units and worker populations.
  • Support access and activation controls to ensure all onboarding requirements are completed prior to worker start dates and system access authorization.
  • Coordinate identity verification, employment eligibility, and right-to-work validation activities during preboarding and Day 1 processes.
  • Ensure required onboarding documentation, agreements, attestations, and acknowledgments are completed accurately and on schedule.
  • Monitor onboarding workflows for risks, compliance concerns, or process exceptions and escalated issues as appropriate.
  • Coordinate required compliance training and track completion through resolution.
  • Partner with HR Operations, Talent Acquisition, Procurement, Security, and hiring managers to address onboarding challenges and remove barriers to readiness.
  • Maintain onboarding records and documentation in accordance with company standards, regulatory requirements, and audit expectations.
  • Identify and recommend process improvements that enhance onboarding efficiency, compliance, and the overall worker experience.
Required Qualifications
  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Three or more years of experience supporting onboarding operations, HR administration, workforce management, or related functions.
  • Previous experience in a regulated or compliance-focused environment preferred.
  • Demonstrated success coordinating onboarding or workforce administration activities for employees and contingent workers.
  • Strong organizational and project coordination skills with the ability to manage multiple onboarding cases simultaneously.
  • Excellent attention to detail and experience handling sensitive and confidential information.
  • Strong communication, customer service, and stakeholder management skills.
  • Ability to effectively prioritize competing demands in a fast-paced, high-volume environment.
  • Experience with HRIS and onboarding technologies, including platforms such as Fieldglass, Oracle, or similar systems preferred.
Preferred Qualifications
  • Experience supporting onboarding programs within highly regulated or compliance-sensitive environments.
  • Proven ability to manage multiple priorities while maintaining accuracy and service quality.
  • Strong documentation, data management, and process-tracking capabilities.
  • Experience contributing to process improvement initiatives that enhance onboarding effectiveness, compliance, and operational efficiency.
