As a key member of the Human Resources team, the Talent Acquisition Coordinator plays a pivotal role in delivering a seamless and engaging candidate experience. This position supports the full lifecycle of recruitment by managing the applicant tracking system (ATS), coordinating interviews, facilitating initial candidate outreach, preparing offer letters, initiating background checks, and ensuring smooth preboarding processes. Acting as the central point of contact for recruiters, hiring managers, and candidates, the Talent Acquisition Coordinator ensures clear communication and efficient scheduling while upholding a high standard of service. This role is essential in driving operational excellence across hiring initiatives and reinforcing a positive employer brand.
Job Responsibilities
● Internally and externally coordinate and schedule phone, video, and onsite interviews, ensuring timely and professional candidate communication
● Support the end-to-end candidate experience, including outreach, interview logistics, and preboarding activities
● Draft and send offer letters, initiate background and reference checks, and ensure completion of new hire paperwork
● Assist with onboarding processes to ensure a smooth transition for new hires
● Manage applicant tracking and communication through platforms like ADP, LinkedIn, and Indeed, including reviewing applications, updating candidate statuses, and sending calendar invites
● Post and audit job listings for accuracy across recruiting platforms; maintain budget oversight and vendor coordination for Indeed campaigns
● Maintain accurate records and reporting tools, including candidate, requisition, and contractor trackers
● Support DEI initiatives by contributing to inclusive sourcing strategies and recruitment practices
● Collaborate with vendors to create HR contracts and process related invoices
● Track employee referrals and manage the referral program database
● Participate in special projects, including tool implementation, onboarding improvements, and enhancing the candidate experience
● Distribute monthly brand review surveys to new hires to gather feedback
● Provide general administrative support to the Talent Acquisition and broader HR team as needed

You Bring (requirements, preferred skills):
· 1-3 years of administrative experience required
· 2 or more years experience in Human Resources field with emphasis on Recruitment strongly preferred
· Experience coordinating interviews for both local or remote office locations
· Advanced knowledge/experience with Google Suite and Microsoft Office applications including Excel, Word, Access and PowerPoint required
· Ability to multi-task, prioritize and complete projects with attention to detail and a sense of urgency in a fast paced and ever changing environment
· Experience working with all levels of management and consulting with key business stakeholders; An ability to influence for greater outcomes.
· Strong team player that has a customer service approach and is solution oriented.
· Attention to detail and the ability to work individually, within a multi-disciplinary team, as well as with external partners and vendors
· Possesses strong written and verbal communication skills
You will need to be able to complete all physical requirements of the job with or without a reasonable accommodation, including:
● Occasionally move about inside the office to access file cabinets, meeting rooms, copier/printer etc as well as have the ability to remain in a stationary position 50% of the time
● Required to retrieve or reposition products like sewing machines weighing up to 50 pounds
● Any additional physical requirements
