Job summary

Delaware Valley Management is seeking a detail-oriented Surgical Scheduler to coordinate all aspects of the surgical scheduling process and ensure smooth communication between patients, providers, and third-party services.

The role covers managing patient pathways from initial indication to the day of surgery, with duties including documentation, paperwork, equipment orders, and pre-/post-operative scheduling. Strong organization and communication are essential.

Qualifications

• Previous experience in surgical scheduling or medical office administration preferred.
• Strong organizational and communication skills.
• Ability to multitask and manage time efficiently.
• Knowledge of medical terminology and procedures is a plus.
• Proficient in using office equipment and standard software applications (e.g., fax, EMR systems).

Responsibilities

• Schedule surgical procedures and related appointments.
• Manage patient surgical files from initial indication through to the operating room.
• Complete and fax required paperwork to the OR and Pre-Admission Testing (PAT).
• Order special equipment and surgical supplies as needed.
• Fax prescriptions to Primary Care Physicians (PCP) and Cardiology offices for pre-surgical clearance.
• Order braces, stimulators, or other medical devices required for surgery.
• Contact PCP and Cardiology offices to obtain surgical clearances.
• Schedule pre- and post-operative appointments as needed.
• Fax completed surgery packets to the hospital once the chart is finalized.
• Call patients the day before surgery to confirm details and answer questions.
• Handle third-party scheduling and equipment ordering related to surgical needs.
• Answer incoming phone calls and return messages promptly.
• Make confirmation calls to ensure all pre-surgical steps are completed.
• Perform scanning and documentation of all relevant paperwork.
• Assist with other administrative tasks as assigned by the Surgical Scheduling Manager.
