Job summary

Holyoke Medical Center in Amherst, MA, is seeking an experienced Surgical Scheduler for the Orthopedics & Sports Center. The role coordinates and executes surgical scheduling, ensures accurate patient data, obtains approvals, and supports staff with administrative tasks.

You will educate patients on procedures, coordinate tests and follow-ups, and maintain documentation while delivering strong customer service in a busy clinical setting.

Qualifications

• Education: High School Diploma, GED or Equivalent.
• Experience: Two years in a physician's office or similar; Spanish/English medical interpreting preferred; familiarity with ICD-10 and HCPC coding.
• Skills: strong communication, typing, transcription, and organization; good computer and multitasking abilities.

Responsibilities

• Coordinate and manage surgical scheduling with accurate patient demographics and bookings.
• Obtain insurance prior authorizations, referrals, and approvals for surgeries and pre-operative care.
• Collaborate with surgeons, OR staff, and providers to ensure efficient patient care.
• Prepare and maintain surgical documentation and pre-operative records.
• Educate patients on procedures, testing, and follow-up care.
• Schedule tests, labs, and post-operative appointments.
• Assist with check-in/check-out, recalls, and registrations.
• Enter outpatient orders and manage electronic scheduling systems.
• Provide customer service via phone and receptionist duties; handle inquiries and messages.
• Support daily office operations, training, meetings, and communications with supervisors.
