Job summary

Nicklaus Children’s Health System in Miami seeks an organized Surgical Scheduling Coordinator to support pediatric neurosurgery physicians and staff with daily patient care coordination and surgical scheduling.

The role requires 2–4 years of physician/medical office and surgical scheduling experience, with proficiency in Word, Excel, and Outlook. Strong coordination, communication, and confidentiality are essential for success.

Qualifications

Responsibilities

  • Scan posting sheet to Same Day Surgery to schedule surgery.
  • Print surgical consents and deliver to Same Day Surgery.
  • Compile Neuro‑Radiology patient lists twice weekly (Mondays and Thursdays).
  • Schedule and post surgeries in physician’s Outlook calendar.
  • Distribute OR calendar daily as changes are made.
  • Verify insurance for surgical cases and obtain necessary authorizations.
  • Search for ICD/CPT codes when not provided.
  • Arrange additional equipment and monitoring as requested by physicians.
  • Coordinate surgeries with outside physicians and hospital admissions when needed.
  • Arrange Gamma Knife procedures in outside facilities.
  • Post all surgeries in the Pre‑Operative Scheduling Form.
  • Schedule CT for Visualase cases on the morning of surgery.
  • Coordinate pre‑op appointments, EMR documentation, and testing.
  • Advise staff when patient moves to Radiology or requires pre‑op steps.
  • Arrange lumbar procedures and obtain authorization.
  • Provide charts to ARNP nurse for orders.

Job Summary

Assist Pediatric Neurosurgery Physician(s) and staff with daily coordination of patient care and access. Primarily responsible for supporting clinical practice staff with surgical scheduling.

Minimum Job Requirements
  • 2-4 years of physician/medical office experience
  • 2-4 years of surgical scheduling experience
  • Proficient in Microsoft Office: Word, Excel, Outlook
Essential Duties and Responsibilities
  • Scan posting sheet to Same Day Surgery to schedule surgery. Prints surgical consents for all scheduled surgeries and delivers them to Same Day Surgery.
  • Compile Neuro‑Radiology patient list each Monday and Thursday.
  • Schedule and post surgeries in physician’s Outlook calendar.
  • Distribute OR calendar daily as changes are made.
  • Process all surgical cases for physician practice, including insurance verification. Search for ICD/CPT code when not provided and obtain necessary authorization for all surgical procedures.
  • Arrange and ensure all additional equipment and monitoring needs requested by physician are met.
  • Coordinate surgeries with outside physicians and, when needed, prior hospital admissions associated with surgical procedures.
  • Arrange and coordinate Gamma Knife surgical procedures in outside facilities.
  • Post all surgeries in the Pre‑Operative Surgical Scheduling Form for all departmental physicians.
  • Schedule the needed CT for Visualase cases on the morning of surgery.
  • Schedule all surgical patients for pre‑operative appointment, scan surgical documentation into EMR, and schedule pre‑op and post‑op testing appointments when needed.
  • Advise appropriate staff when patient starts in Radiology, needs to be admitted the day before surgery, needs pre‑op on the morning of surgery, etc.
  • Arrange and coordinate lumbar procedure and request authorization.
  • Provide charts to ARNP nurse for orders.
Knowledge, Skills, and Abilities
  • High school education or equivalent preferred.
  • Able to relate cooperatively and constructively with clients and co‑workers.
  • Ability to communicate verbally and in writing.
  • Able to maintain confidentiality of sensitive information.
  • Ability to follow detailed written or verbal instructions.
