The University of Miami UHealth - Department of Surgery at SoLé Mia has an exciting opportunity for a full-time Surgery Scheduler 1.
The Surgery Scheduler 1 will be responsible for managing information related to clinical coordination and scheduling of surgical procedures, efficiently entering cases into the surgical scheduling system, and coordinating the reassignment of surgical block time. The role involves direct interaction with physicians on campus and in the community, as well as ARNPs and RNs, to ensure smooth clinical operations.
Primary Duties and Responsibilities (For Non-exempt Employees Include Percent of Effort):
- Create and maintain daily schedules and complete edits promptly.
- Complete necessary paperwork prior to pre-op appointments, including updating surgery logs immediately after confirming surgeries with patients.
- Monitor cancellations of physician surgical schedules.
- Obtain referrals and authorizations from PCPs or insurance providers.
- Coordinate pre-op testing with outside providers, such as blood work, EKG, and medical clearance, in a timely manner.
- Follow-up with medical offices and imaging technicians to ensure pre-op results are received timely to facilitate scheduled procedures.
- Inform patients about activities during their visits and provide patient pamphlets to surgical facilities.
- Collaborate with front desk staff to schedule surgeries for discharged patients, ensuring efficient patient flow.
- Adhere to policies and procedures concerning the registration process.
- Inform patients of their financial responsibilities when appropriate (e.g., self-pay, non-contracted insurance).
- Maintain effective communication with patients, physicians, staff, and community physicians and their staff.
- Perform other duties as assigned.
Core QualificationsEducation Requirements (Essential):
- High School diploma or equivalent required.
- Associate Degree preferred.
Work Experience Requirements (Essential):
- One (1) year of relevant experience in a medical office, surgical coordination, or insurance verification required.
Knowledge, Skills, And Abilities:
- Proficiency in operating computer systems for data entry and retrieval.
- Effective verbal and written communication skills.
- Good interpersonal skills with physicians and healthcare professionals.
- Ability to work collaboratively as part of a team.
- Ability to interact with patients of all ages and with special needs.
- Pleasant demeanor and clear speaking voice.
- Ability to work under stress and time constraints while maintaining professionalism.
- Knowledge of Medicare, Medicaid, and third-party insurance requirements.
- Accurate scheduling skills aligned with provider schedules.
- Diplomatic and discreet in interactions with diverse individuals.
