Job description

The Ward Administration (Inpatient) Supervisory Medical Support Assistant (SMSA) plans, directs, and controls administrative and clerical support functions related to inpatient treatment areas. This role administers a program requiring high performance and leadership qualities. Assignments significantly impact the overall mission of the Health Care System.

Position: GS-8 Supervisory Medical Support Assistant (Inpatient) for Oklahoma City VA Healthcare System, located at Oklahoma City VA Medical Center.

Qualifications

Basic Requirements:

  • United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens, in accordance with VA Policy.
  • Experience and Education: (1) Experience - Six months of clerical, office, customer service, or other administrative work indicating the ability to acquire the necessary knowledge and skills; or (2) Education - One year above high school; or (3) Combination of experience and education.
  • English Language Proficiency: MSAs must be proficient in spoken and written English, as per VA Handbook 5005, part II, chapter 3, section A, paragraph 3j.

May qualify under the Grandfathering Provision if current VHA employees meet the criteria.

Grade Determinations

For GS-8:

  • One year of experience at or equivalent to GS-7.
  • Demonstrated ability to perform administrative and supervisory duties, including work assignment, performance evaluations, staff selection, and recommending awards or advancements.
  • Ability to collaborate, communicate effectively, and demonstrate customer service skills with internal and external customers to ensure quality and compliance.
  • Experience in providing briefings, orientations, staff development, and training in a patient support setting.
  • Ability to manage fiscal matters, forecast resource needs, and identify budget requirements.
  • Advanced knowledge of managing or leading patient support staff in a clinic, including decision-making and team empowerment within complex systems.

Physical Requirements

The work is predominantly clerical, performed mainly in an office setting with typical distractions. The position requires the ability to perform duties physically, including walking, sitting, standing, reaching, bending, and light lifting (under 15 lbs.) of materials such as books, papers, and binders.
