CANY is seeking a Studio Business Administrator in New York to manage operational and financial records across projects from setup to forecasting, billing, and reporting. You will partner with Project Managers and Accounting to ensure accuracy and timely decisions.
You will own dashboards, data validation, and quarterly reporting while maintaining consistency across live projects and ensuring records stay aligned with corporate standards.
CANY is a building envelope consultancy providing architecture and engineering services across New York City and the surrounding region. Our work spans façade and roof restoration, building compliance, new construction consulting, and major capital repairs.
We are looking for a Studio Business Administrator (SBA) to manage the operational and financial records that keep a studio’s projects running effectively—from proposals and project setup through forecasting, billing, and performance reporting.
Working closely with Project Managers and Accounting, you will keep information accurate, identify budget risks early, and follow through on decisions. This role suits someone who enjoys working with numbers, understands how individual tasks affect a whole project, and can keep busy teams accountable with confidence and tact. You will report to the SBA Team Lead.
Manage opportunities and project setup. Maintain Salesforce opportunities and create projects, budgets, milestones, and staffing assignments in FinancialForce / Certinia PSA.
Monitor budgets and forecasts. Review project dates, remaining workload, and financial performance with Project Managers; flag risks and track work awaiting client approval.
Coordinate time approval and billing. Lead regular review meetings, document decisions, prepare projects for invoicing, and coordinate adjustments with Accounting.
Maintain reliable records. Keep agreements and project documentation organized in SharePoint and ensure project and financial systems stay aligned.
Support studio performance reviews. Maintain dashboards, validate underlying data, and coordinate quarterly reporting.
Keep work moving. Follow up on outstanding decisions, adapt to different working styles, and maintain consistent processes across a portfolio of live projects.
Confidence working with numbers and a strong commitment to accurate, complete records.
Sound judgment and the ability to recognize emerging problems before they affect project performance.
Strong organization, clear written communication, and dependable follow-through.
The ability to hold colleagues accountable for deadlines and decisions while building productive working relationships.
Flexibility, curiosity, and a willingness to learn and use AI tools such as Claude and ChatGPT. Prior AI experience is not required.
Experience in project accounting or operations within architecture, engineering, construction, or another professional services firm would be valuable. Familiarity with Salesforce, FinancialForce / Certinia PSA or comparable systems, dashboards, and SharePoint is also helpful, as is knowledge of New York City building compliance processes.
