Qualifications

  • 3–6+ years of progressive accounting, bookkeeping, or financial analysis experience.
  • Bachelor’s degree in Accounting, Finance, Economics, Business Administration, or related field.
  • Experience with project management and job-costing software integrations into QuickBooks.
  • Strong GAAP knowledge and advanced Excel/Google Sheets skills.

Responsibilities

As our business continues to scale across Design, Installation, and Maintenance, we are seeking an exceptional Staff Accountant & Business Analyst to manage our day-to-day financial operations and elevate our business intelligence.

Reporting directly to the Chief Financial Officer, this role combines full-charge bookkeeping using QuickBooks Online with commercial business analysis. You will be responsible for accurate revenue/expense logging, invoicing, job-costing, and month-end reconciliations, while also distilling financial data into actionable insights, business-unit P&Ls, and KPI reports for leadership.

Key Responsibilities

BOOKEEPING & FINANCIAL OPERATIONS

  • Manage day-to-day accounting functions in QuickBooks, including Accounts Receivable (invoicing, billing milestones, client follow-ups) and Accounts Payable (vendor bills, subcontractor payments, expense categorizations).
  • Perform monthly bank, credit card, and merchant reconciliations; ensure clean ledger organization for seamless handoff to our external CPA/accountant for tax preparation and year-end filings.
  • Execute job-costing tracking, attributing labor, plant materials, stone, and subcontractor costs to specific project lines across Design, Installation, and Maintenance divisions.
  • Process payroll, employee expense reimbursement, track employee billable hours, and manage sales tax compliance and state filings.
  • Identify opportunities to streamline financial systems, automate invoice tracking, and refine project-level accounting practices as the firm grows.

BUSINESS ANALYSIS, P&LS AND KPI TRACKING

  • Prepare, review, and analyze monthly, quarterly, and annual Profit & Loss (P&L) statements for each business unit (Design, Installation, Maintenance).
  • Track, analyze, and report on core company and department KPIs on a quarterly basis.
  • Synthesize financial data into clear, actionable executive summaries and visual dashboards for the leadership team, identifying trends, cost drivers, and margin improvement opportunities.
  • Support project teams with cash flow forecasting, budget-to-actual variance reporting, and financial modeling for major capital or operational initiatives.

What You Bring

FINANCIAL & ANALYTICAL EXPERTISE

  • Advanced proficiency in QuickBooks and ADP WorkforceNow and deep familiarity with chart-of-accounts structure, job costing, and multi-entity or departmental accounting.
  • Advanced Microsoft Excel / Google Sheets skills (pivot tables, complex formulas, financial modeling, conditional formatting).
  • Solid understanding of GAAP principles, general ledger mechanics, and month-end close procedures.
  • Demonstrated ability to build P&Ls by business segment and translate raw financial records into executive-level performance reports.

OPERATIONAL DISCIPLINE & COMMUNICATIONS

  • Exceptional organizational skills, high attention to detail, and a rigorous approach to data accuracy.
  • Ability to handle sensitive financial information with total discretion and integrity.
  • Strong written and verbal communication skills to interface effectively with external accountants, trade vendors, clients, and internal department leads.

Preferred Qualifications

  • 3–6+ years of progressive accounting, bookkeeping, or financial analysis experience, preferably within a luxury design-build, architecture, construction, or professional services firm in NYC or a comparable market.
  • Experience with project management and job-costing software integrations into QuickBooks.
  • Bachelor’s degree in Accounting, Finance, Economics, Business Administration, or a related field.
