Job summary

PayPal is seeking a seasoned Business Analyst to oversee software asset management (SAM) using ServiceNow. You will maintain records, optimize software usage, and drive a roadmap to improve processes and compliance across the organization.

With 5+ years in business analysis and strong Excel and licensing knowledge, you will collaborate with IT and cross-functional teams to manage contracts, renewals, budgets, and audits.

Qualifications

• Bachelor’s degree or equivalent combination of education and experience.
• 5+ years of business analysis experience with strong analytical and problem-solving skills.
• Advanced Excel proficiency (PivotTables, VLOOKUP, IF, macros) and other Microsoft Office tools.
• Experience in enabling process workflows in ServiceNow.
• Experience managing enterprise software licensing agreements and contracts.
• Proficiency with various software licensing models.
• Ability to create and maintain license, contract, and financial reports.
• Experience documenting business processes for diverse audiences (business stakeholders, leadership, technical SMEs).

Responsibilities

• Oversee the software asset lifecycle via ServiceNow SAM, maintaining accurate records and a centralized database of contracts and entitlements.
• Identify gaps in current SAM processes and recommend solutions to improve efficiency and reduce risk.
• Ensure license agreement compliance and track software inventory across the organization.
• Collaborate with IT and non-IT teams to fulfill software requirements, manage vendor agreements, renewals, and audits.
• Onboard new software contracts into ServiceNow SAM and maintain complete, accurate contract information.
• Prepare monthly forecasts and yearly budgets based on software contract spend.
• Conduct software compliance reviews, monitor for compliance risk, and identify cost-saving opportunities.
• Document processes, create and maintain policies, and develop training materials for stakeholders.
• Support cross-functional projects to expand software visibility and improve discovery tools.
• Manage project tasks related to SAM processes across teams and coordinate negotiation and execution of agreements.
• Identify and implement process improvements related to SAM configuration and data quality.
• Analyze vendor contracts and licensing terms, capturing essential entitlements and terms.
• Provide day-to-day support for license and software asset management requests.
• Collaborate with sourcing and management teams on contract onboarding and budgeting.
• Communicate effectively with key stakeholders to ensure alignment on SAM goals.
