Job summary

Pape-Dawson Engineers is seeking a Proposal Coordinator II to manage multi-disciplinary proposals and SOQs, collaborating with technical staff, marketing, and subconsultants to deliver compliant submissions. You will coordinate content, schedules, and templates, and ensure brand consistency and timely delivery.

The role requires a Bachelor's degree and 4+ years of experience, with proficiency in InDesign, Word, PowerPoint, and Acrobat, plus strong writing and organizational skills.

Qualifications

• Bachelor's degree in English, Communications, Marketing, or related field preferred.
• 4+ years of experience in a proposal coordination role, preferably in the AEC industry.
• Proficiency in Adobe InDesign, Microsoft Word, PowerPoint, and Acrobat.
• Strong writing, editing, and proofreading skills.
• Excellent organizational skills and the ability to manage multiple concurrent deadlines.
• Effective communicator with the ability to collaborate with technical and non-technical staff.
• Availability to work Monday - Friday, 8am - 5pm, with overtime as needed.

Responsibilities

• Facilitate the proposal process from kickoff through final delivery, ensuring compliance with submission requirements.
• Coordinate the preparation, development, and layout of SOQs and proposal documents.
• Format documents and ensure brand compliance and proposal consistency.
• Ensure proposals meet compliance and align with evaluation criteria.
• Manage content development with input from marketing, technical staff, and leadership.
• Manage proposal schedules and checklists to ensure timely submissions.
• Facilitate kickoff and milestone meetings to maintain progress and accountability.
• Support QA/QC processes to ensure high-quality deliverables.
• Maintain and update proposal databases, libraries, and templates.
• Conduct research to support proposal content.
• Track and manage multiple deadlines simultaneously.
