Job Description:Overview:This position supports the development of complex, multi-disciplinary proposals and statements of qualifications (SOQs). The Proposal Coordinator II collaborates closely with technical staff, marketing team members, and subconsultants to manage content, schedules, and deliverables for high-quality, compliant submissions. This role requires excellent organization, and time management skills, along with the ability to coordinate fast-paced proposal efforts independently.Responsibilities:Facilitate the proposal processCoordinate the preparation, development, and layout of SOQs and proposal documents from kickoff through final delivery, ensuring compliance with submission requirementsFormat documents and ensure brand compliance and proposal consistencyEnsure proposals meet compliance requirements and align with evaluation criteriaManage content development with input from marketing, technical staff, and leadershipManage proposal schedules, maintain pursuit checklists, and ensure timely submission of all componentsFacilitate proposal kickoff and milestone meetings to maintain progress and accountabilitySupport QA/QC processes to ensure high-quality, error-free deliverables Maintain and update proposal databases, libraries, boilerplate material, and template Conduct research and gather information from internal teams to support proposal contentTrack and manage multiple deadlines simultaneously, prioritizing tasks based on project needsContribute to identifying proposal process improvements and content updatesQualifications:Bachelor’s degree in English, Communications, Marketing, or related field preferred4+ years of experience in a proposal coordination role, preferably in the AEC (Architecture, Engineering, and Construction) industryProficiency in Adobe InDesign, Microsoft Word, PowerPoint, and AcrobatStrong writing, editing, and proofreading skillsExcellent organizational skills and the ability to manage multiple concurrent deadlinesEffective communicator with the ability to collaborate with technical and non-technical staffDependable and flexible with a proactive, team-oriented approachAvailability to work Monday – Friday, 8am – 5pm, with overtime as needed#LI-SE1EEO Statement:All qualified applicants for Pape-Dawson Engineers will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, disability, or status as a protected veteran.
