Job summary

Pape-Dawson Engineers is seeking a Proposal Coordinator II to develop and manage complex multi-disciplinary proposals and SOQs. You will collaborate with technical staff, marketing, and subconsultants to ensure content quality, schedules, and compliance from kickoff through delivery.

The ideal candidate has a 4+ year background in proposal coordination within the AEC industry, strong writing/editing skills, and proficiency in InDesign, Word, PowerPoint, and Acrobat.

Qualifications

• Bachelor's degree in English, Communications, Marketing, or related field preferred
• 4+ years of experience in a proposal coordination role, preferably in the AEC (Architecture, Engineering, and Construction) industry
• Proficiency in Adobe InDesign, Microsoft Word, PowerPoint, and Acrobat
• Strong writing, editing, and proofreading skills
• Excellent organizational skills and the ability to manage multiple concurrent deadlines
• Effective communicator with the ability to collaborate with technical and non-technical staff
• Availability to work Monday - Friday, 8am - 5pm, with overtime as needed

Responsibilities

• Facilitate the proposal process
• Coordinate the preparation, development, and layout of SOQs and proposal documents from kickoff through final delivery, ensuring compliance with submission requirements
• Format documents and ensure brand compliance and proposal consistency
• Ensure proposals meet compliance requirements and align with evaluation criteria
• Manage content development with input from marketing, technical staff, and leadership
• Manage proposal schedules, maintain pursuit checklists, and ensure timely submission of all components
• Facilitate proposal kickoff and milestone meetings to maintain progress and accountability
• Support QA/QC processes to ensure high-quality, error-free deliverables
• Maintain and update proposal databases, libraries, boilerplate material, and template
• Conduct research and gather information from internal teams to support proposal content
• Track and manage multiple deadlines simultaneously, prioritizing tasks based on project needs
• Contribute to identifying proposal process improvements and content updates
