Pape‑Dawson Consulting Engineers, LLC is seeking a Proposal Coordinator II to manage the development of complex, multidisciplinary proposals and SOQs. You will collaborate with technical staff, marketing, and subconsultants to organize content, schedules, and deliverables for high-quality submissions.

Responsibilities include coordinating preparation and layout, ensuring brand compliance, managing content and timelines, and supporting QA/QC to deliver error-free proposals.

Qualifications

• Bachelor’s degree in English, Communications, Marketing, or related field preferred.
• 4+ years of experience in a proposal coordination role, preferably in the AEC industry.
• Proficiency in Adobe InDesign, Word, PowerPoint, and Acrobat.
• Strong writing, editing, and proofreading skills.
• Excellent organizational skills and the ability to manage multiple deadlines.
• Effective communicator with the ability to collaborate with technical and non-technical staff.
• Dependable and flexible with a proactive, team-oriented approach.

Responsibilities

• Facilitate the proposal process.
• Coordinate the preparation, development, and layout of SOQs and proposal documents from kickoff through final delivery, ensuring compliance with submission requirements.
• Format documents and ensure brand compliance and proposal consistency.
• Ensure proposals meet compliance requirements and align with evaluation criteria.
• Manage content development with input from marketing, technical staff, and leadership.
• Manage proposal schedules, maintain pursuit checklists, and ensure timely submission of all components.
• Facilitate proposal kickoff and milestone meetings to maintain progress and accountability.
• Support QA/QC processes to ensure high‑quality, error‑free deliverables.
• Maintain and update proposal databases, libraries, boilerplate material, and templates.
• Conduct research and gather information from internal teams to support proposal content.
• Track and manage multiple deadlines simultaneously, prioritizing tasks based on project needs.
• Contribute to identifying proposal process improvements and content updates.
