Job summary

Stantec is seeking a Project Controls Coordinator-Contract Administrator in the United States to ensure contract and financial compliance on government and public-agency projects. You will collaborate with Project Management, Project Controls, Project Accounting, and Marketing to keep billing aligned with contract terms and reduce risk.

The role coordinates contract requirements, subconsultant documentation, and cross-functional risk management.

Qualifications

• Bachelor’s degree or equivalent experience in business, project management, finance, or a related field.
• Typically 5+ years of experience supporting transportation or public-sector projects.
• Experience with Caltrans or other state DOT contracts strongly preferred.
• Strong understanding of consulting contracts, DOT billing requirements, and financial compliance.
• Highly organized, detail-oriented, and comfortable working across multiple teams.
• Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.

Responsibilities

• Ensures contract and financial compliance across prime contracts, task orders, amendments, and modifications.
• Interprets and applies financial terms, rates, funding limits, and authorizations consistently.
• Tracks project cost performance and prepares month-end reports for management and clients.
• Provides contract compliance guidance to project teams.
• Supports project setups, rate and gross margin reviews, rosters, and invoicing alignment.
• Maintains complete billing support, documentation, and client forms as required.
• Coordinates subconsultant compliance activities and tracks obligations and invoices.
• Identifies compliance risks and supports corrective actions across projects.
• Maintains auditable contract and financial records in accordance with standards.
