Job summary

Stony Brook University is seeking a Limited Submissions Specialist within the Office of Proposal Development (OPD) in the Office for Research and Innovation (OR&I). The role focuses on strategic support for externally sponsored awards and effective project management in a research-intensive environment.

The successful candidate will coordinate internal competitions for limited submissions, build strong stakeholder relationships, and deliver timely, accurate communications to faculty and staff.

Qualifications

• Bachelor's degree in a relevant field; four years of progressive experience in research development, pre-award research administration, or grant management.
• Excellent written and oral communication skills with ability to write guidelines and correspondence.
• Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) for data compilation and reporting.

Responsibilities

• Support research development services within the Office of Proposal Development (OPD) at Stony Brook University.
• Oversee limited submissions, from program identification to nominee selection and external award status.
• Coordinate internal calls for proposals, track intent-to-apply, and verify eligibility.
• Recruit and manage peer reviewers, compile scoring, and facilitate review meetings.
• Build and maintain institutional policies and workflows for fair, rigorous peer review.
• Maintain OPD portal and dashboards with current guidelines and deadlines.
• Collaborate with campus units to support proposals.
• Develop metrics and prepare quarterly/annual strategic reports.
• Assist with seed grant program management and external consultant coordination.
