Job summary

Skadden, Arps, Slate, Meagher & Flom LLP and Affiliates is seeking a Conference Services & Events Specialist for our Palo Alto office. The role involves coordinating space, catering, and equipment for meetings and visiting attorneys, with a focus on seamless service and strong teamwork.

The position requires a High School Diploma and a minimum of three years of related experience, plus proficiency with Outlook, Excel and PowerPoint.

Qualifications

• Knowledge of firm software programs (e.g., Outlook, Excel, PowerPoint) and the ability to learn new software.
• Demonstrates effective interpersonal and written/verbal communication skills.
• Ability to handle multiple projects and shifting priorities and maintain confidentiality.

Responsibilities

• Assist Officer Services Manager to ensure requests for space, food, equipment and other facilities are provided seamlessly.
• Assist with catering orders, kitchen inventory and invoicing in the appropriate systems.
• Oversee catering intake, log food temperatures, and ensure disposal after four hours.
• Maintain client pantry and internal hub per public health requirements.
• Set up conference rooms for meetings with beverages and catered food; handle cleanup.
• Maintain conference rooms and visiting attorney offices with supplies and cleanliness.
• Support events across BD Marketing, Skadden Experience, People Development and Talent Acquisition.
