Job summary

Service Electric Company is seeking a Proposal Coordinator to support the Estimating department throughout the bid lifecycle. You will coordinate activities, manage tasks, and ensure timely, accurate deliverables across cross-functional teams.

Responsibilities include maintaining bid data, coordinating procurement sites, reviewing proposals for client requirements, organizing files, and preparing meeting minutes.

Qualifications

• Bachelor’s degree in Business, Marketing, or related field.
• 2+ years of experience supporting bid and proposal development or similar roles.

Responsibilities

• Enter and maintain accurate bid data in company software, including updates to changes and statuses.
• Manage and monitor the company’s procurement sites used by customers.
• Serve as the central point of contact for bid activities and coordinate clear communication among teams.
• Collaborate with SMEs and cross-functional teams to develop bid deliverables.
• Review proposals for client requirements and ensure accuracy, grammar, and completeness.
• Organize bid files and ensure proper documentation and accessibility.
• Complete prequalification packages gathering information from references, safety data, and resumes.
• Order and coordinate certificates of insurance, bonds, and other documents.
• Submit contracts to the Legal department for evaluation and approval.
• Monitor bid-related documentation to align with client specs.
• Participate in estimating meetings and document key discussions with meeting minutes.
• Prepare and manage mailings.
• Other duties as assigned.
