Staff Coordinator – Nursing Home / Skilled Nursing Facility

Department: Nursing / Administration
Reports To: Director of Nursing (DON) / Administrator
Position Type: Full-Time

Position Summary

The Staff Coordinator is responsible for coordinating and maintaining daily nursing staff schedules to ensure the facility is appropriately staffed to meet the needs of residents. This position works closely with the Director of Nursing, nursing supervisors, unit managers, Human Resources, and facility leadership to identify staffing needs, fill open shifts, manage call-outs, and maintain accurate staffing records.

The Staff Coordinator must be highly organized, responsive, dependable, and able to work in a fast-paced healthcare environment where staffing needs can change quickly.

Essential Duties and Responsibilities
Staffing & Scheduling
  • Develop, maintain, and update nursing staff schedules based on facility staffing needs.

  • Coordinate staffing for all shifts, including weekdays, weekends, holidays, and overnight coverage.

  • Monitor daily staffing levels and identify open shifts, vacancies, and potential staffing shortages.

  • Contact available employees to fill open shifts, call-outs, and last-minute staffing needs.

  • Maintain accurate records of staff availability, scheduled shifts, overtime, and open positions.

  • Work with nursing leadership to ensure appropriate staffing coverage based on census and resident needs.

  • Assist with maintaining appropriate staffing ratios and facility scheduling requirements.

  • Communicate schedule changes promptly to affected employees and department leadership.

Call-Outs & Shift Coverage
  • Receive and document employee call-outs in accordance with facility policy.

  • Immediately begin the process of securing replacement staff when necessary.

  • Maintain a current list of employees available for additional shifts, per diem employees, agency staff, and other approved staffing resources.

  • Follow facility procedures for overtime and staffing approvals.

  • Escalate unresolved staffing shortages to the appropriate nursing leadership.

Communication & Coordination
  • Serve as a central point of contact for staffing-related questions and scheduling concerns.

  • Communicate effectively with CNAs, LPNs, RNs, supervisors, unit managers, and department leadership.

  • Maintain professional and positive relationships with employees while addressing scheduling issues.

  • Communicate staffing updates and concerns to the DON and Administrator as needed.

  • Assist with coordinating orientation schedules for new nursing employees in conjunction with HR and nursing leadership.

Administrative Responsibilities
  • Maintain accurate staffing records, schedules, attendance information, and related documentation.

  • Assist with tracking employee attendance, tardiness, call-outs, and schedule adherence.

  • Prepare staffing reports and other reports requested by the DON or Administrator.

  • Assist with ensuring that employee schedules and staffing records are accurate and up to date.

  • Maintain confidentiality of employee and resident information.

  • Assist with audits and other administrative projects related to staffing and nursing operations.

Employee Support
  • Assist employees with scheduling questions and requests.

  • Coordinate approved schedule changes, swaps, vacations, and other requests according to facility policy.

  • Help ensure employees understand their assigned schedules and responsibilities.

  • Maintain a professional, respectful, and service-oriented approach when interacting with staff.

Qualifications
  • High school diploma or equivalent required.

  • Previous experience in a nursing home, skilled nursing facility, assisted living, hospital, healthcare, staffing, scheduling, or human resources environment preferred.

  • Previous scheduling or staff coordination experience strongly preferred.

  • Knowledge of nursing home staffing operations is highly desirable.

  • Strong computer and organizational skills.

  • Excellent verbal and written communication skills.

  • Ability to handle multiple priorities and changing staffing needs.

  • Ability to work independently while also functioning effectively as part of a team.

  • Strong attention to detail and follow-through.

  • Ability to maintain confidentiality and exercise good judgment.

  • Experience with scheduling software or electronic timekeeping systems preferred.

Physical & Work Environment

This position is primarily administrative but works within a nursing home/skilled nursing environment. The Staff Coordinator may be required to move throughout the facility, attend meetings, communicate with staff on nursing units, and respond to staffing needs throughout the building.
