Confidential Executive Assistant to Co-Founders – Private Equity Firm – NYC

4x in office

$150k–$175k base + bonus

The Role

A highly confidential, growing private equity firm is seeking a polished and proactive Executive Assistant to support multiple Partners in its New York office.

This is an exciting opportunity to join a entrepreneurial, and high-performing team where the ideal candidate will serve as a trusted partner to senior leadership. The role will primarily focus on complex calendar management, domestic and international travel, expense management, meeting coordination, and ad hoc executive support.

In addition to traditional EA responsibilities, this individual will take ownership of the day-to-day details that keep a small office operating smoothly. This includes coordinating vendors, office supplies, conference room preparation, building management, technology needs, and firm events. This is not an Office Manager role, but rather an opportunity for an EA who enjoys being hands-on and making sure things get done.

The ideal candidate is someone who is highly resourceful, entrepreneurial, and comfortable working with minimal structure. They should be able to anticipate needs, prioritize effectively, and take ownership of projects from start to finish.

Key Responsibilities
  • Manage complex calendars and coordinate meetings, priorities, and schedules for multiple senior executives
  • Coordinate detailed domestic and international business travel and itineraries
  • Prepare and reconcile executive expenses
  • Provide ad hoc personal support and coordinate appointments as needed
  • Assist with restaurant reservations, meetings, and other executive logistics
  • Provide additional support to other senior executives as needed
  • Coordinate day-to-day office needs, including supplies, conference rooms, and guest preparation
  • Liaise with vendors, property management, IT providers, and other external partners
  • Assist with office projects, technology needs, and workplace initiatives
  • Support onboarding of new hires, including building access and IT coordination
  • Assist with the planning and execution of firmwide meetings, offsites, dinners, and other events
  • Support senior leadership with special projects and other strategic initiatives
  • Identify opportunities to improve processes, increase efficiency, and streamline operations
Qualifications
  • 5–10+ years of experience supporting senior-level executives
  • Experience within private equity, investment management, financial services, or another fast-paced professional environment preferred
  • Exceptional organizational skills and attention to detail
  • Strong calendar management, travel, and expense experience
  • Highly proactive, resourceful, and solutions-oriented
  • Ability to work independently and take initiative in an entrepreneurial environment
  • Excellent communication and interpersonal skills
  • Strong judgment and ability to handle confidential information with discretion
  • Polished and professional presence
  • Proficiency in Microsoft Office Suite
