This is a great opportunity for an experienced EA who enjoys being one step ahead, thrives in a fast-paced environment, and likes having a seat close to the action. You’ll work directly with senior leadership while also playing an important role in client and sales-related initiatives.
The right person will be polished, confident, highly organized, and comfortable juggling competing priorities without losing sight of the details.
What You’ll Do
- Serve as a trusted partner to senior leadership, proactively managing priorities and keeping things moving
- Own complex calendars, including scheduling across multiple time zones and navigating constantly shifting priorities
- Coordinate domestic and international travel, creating thoughtful and efficient itineraries
- Manage client meetings, executive appointments, and other high-priority engagements from start to finish
- Help maximize executive travel and client-development time by coordinating meetings and logistics across multiple cities
- Prepare, edit, and proofread correspondence, presentations, and other executive communications
- Serve as a key point of contact between executives, clients, colleagues, and external partners
- Maintain a high level of confidentiality when handling sensitive business and client information
- Manage expense reporting, time tracking, and other administrative needs for the executive office
- Anticipate needs, identify potential issues before they arise, and bring solutions rather than problems
Executive Sales Support
This role goes beyond traditional executive support. You’ll also partner closely with the executive and sales team on a variety of client and business-development activities.
- Maintain and update CRM information, including Salesforce, pipeline activity, and account details
- Monitor key client milestones, contracts, and follow-up items
- Coordinate client communications and ensure timely follow-through on open items
- Assist with proposals, presentations, and other client-facing materials
- Pull relevant sales resources, research, presentations, and other materials from internal systems
- Help prepare reporting and dashboards for leadership meetings
- Support client-development initiatives and help ensure executives are fully prepared for important meetings and trips
What We’re Looking For
- 3 - 5 years of experience as an Executive Assistant, ideally supporting senior or C-level executives
- Must have experience supporting Sales Teams and Salesforce
- Experience in a client-facing, sales, business-development, financial services, or similarly fast-paced environment
- Strong understanding of executive calendar management, travel coordination, and complex scheduling
- Previous experience supporting sales activity, CRM systems, client accounts, or business-development initiatives
- Excellent writing, editing, and communication skills
- Strong command of Microsoft Office and/or Google Workspace; comfort working with Excel and PowerPoint
- Exceptional attention to detail and follow-through
- Ability to manage multiple priorities while remaining calm, organized, and responsive
- Someone who naturally thinks ahead and is comfortable anticipating what an executive will need next
- Professional judgment and a high level of discretion
The Opportunity
If you’re an experienced EA who wants more than traditional administrative support and enjoys working closely with senior leadership, clients, and revenue-generating teams, this could be a terrific next step.
Competitive compensation + meaningful profit sharing + hybrid flexibility + a prime Boston location.
