Job summary

Targa Resources is seeking an experienced administrative professional to provide high-level support to executives, manage calendars and travel, and handle confidential projects with discretion. The successful candidate will coordinate meetings and events, assist with onboarding, and prepare documents using Excel and PowerPoint.

Qualifications

  • 5 years of executive administrative/assistant experience.
  • High school diploma or equivalent required, bachelor’s degree preferred.
  • Excellent written and verbal communication skills.
  • Experience in managing multiple calendars and travel logistics.
  • Experience processing invoices (OFC experience preferred).
  • Licensed Notary preferred.
  • Strong interpersonal skills and ability to work in a team.
  • Ability to multitask and handle confidential tasks with discretion.

Responsibilities

  • Provide high-level administrative support by managing appointments, calendars, meetings, conferences, teleconferences, events, and travel.
  • Coordinate travel arrangements and process travel expenses.
  • Greet guests and answer inquiries, directing them to the appropriate department.
  • Respond to general inquiries and forward to relevant departments.
  • Maintain confidentiality on sensitive tasks and projects.
  • Prepare documents including Excel spreadsheets and PowerPoint presentations.
  • Assist with onboarding new employees and corporate events.
  • Create and process purchase orders in Oracle (OFC).
  • Provide backup support to Executive Administration and Facilities as needed.

Job description

This position is responsible for providing high-level administrative support while fostering effective communication and collaboration with internal and external stakeholders. The role requires exceptional communication, customer service, and organizational skills, along with the ability to manage multiple priorities and respond effectively in a fast-paced, high-energy environment.

JOB FUNCTIONS AND KEY RESPONSIBILITIES:

  • Responsible for providing complex office administration which includes maintaining and coordinating appointments, schedules and calendars by planning and scheduling meetings, conferences, teleconferences, events, and travel.
  • Coordinate travel arrangements as necessary, as well as process travel expenses.
  • Welcomes guests and customers by greeting them, in person or on the telephone, and answering or directing inquiries.
  • Respond to general inquiries and forward to the appropriate department when necessary.
  • Must be able to work on confidential and sensitive tasks and projects and always maintain high confidentiality.
  • May be required to prepare documents, including Excel spreadsheets, PowerPoint presentations, attendee lists, and similar documents.
  • Assist Facility Services with Floor management responsibilities as needed.
  • Provide backup support to Executive Administration as needed.
  • Ordering supplies and keeping the supply area organized and stocked.
  • Assist with onboarding new employees.
  • Back-up support to facilities coordinator. Process mail.
  • Coordinate lunches, training, and companywide events.
  • Create and process POs in Oracle (OFC)
  • Other duties and responsibilities as assigned.

MINIMUM ESSENTIAL QUALIFICATIONS:

  • 5 years of executive administrative/assistant experience.
  • High school diploma or equivalent required, bachelor’s degree preferred.
  • Excellent written and verbal communication skills.
  • Experience in managing multiple calendars and travel logistics.
  • Experience processing invoices (preferred experience in OFC)
  • Licensed Notary Preferred
  • Strong interpersonal skills with the ability to work harmoniously in a team setting.
  • Ability to prioritize daily work schedule and function with minimum supervision.
  • Strong organizational skills with the ability to multi-task and prioritize work.
  • Ability to adapt to changes in the work environment, manage competing demands, and able to deal with frequent changes, delays, or unexpected events.
  • Exceptional presentation skills.
  • Proficient in Microsoft Office.
  • Ability to work overtime and adjust work schedule with minimum notice.
  • Able to lift 25 pounds to move files and retrieve information.
  • Regular and reliable attendance.
