We are seeking a highly organized and experienced Senior Administrative Assistant to serve as a trusted partner to a senior executive and provide high-level administrative and operational support across the organization.
This is more than a traditional administrative role. The successful candidate will help an executive remain focused on strategic priorities by anticipating needs, managing complex schedules, coordinating critical activities, and proactively resolving logistical challenges.
The position will also provide administrative and logistical support to senior operational leadership and may occasionally assist with personal scheduling and logistical needs that affect executive availability.
How You Will Contribute
- Manage a senior executive's complex calendar, including internal and external meetings, multiple participants, time zones, agendas, meeting spaces, technology requirements, and related logistics.
- Proactively identify scheduling conflicts, competing priorities, and upcoming commitments to help keep the executive focused on key organizational priorities.
- Partner closely with the executive and leadership team to coordinate meetings, deadlines, commitments, and responsibilities while ensuring appropriate follow-up.
- Coordinate domestic and international travel, including flights, hotels, ground transportation, itineraries, and meeting logistics.
- Monitor travel plans and proactively manage delays, cancellations, and other changes while communicating updates to relevant stakeholders.
- Serve as a professional and responsive point of contact between the executive and internal and external stakeholders.
- Coordinate leadership meetings, off-site meetings, training sessions, strategic gatherings, and other organizational events, including scheduling, logistics, materials, travel, and follow-up.
- Prepare, edit, and distribute emails, correspondence, memos, reports, and other communications on behalf of the executive while maintaining accuracy, professionalism, and confidentiality.
- Review and assist in developing presentations and other executive materials to ensure clarity, consistency, and polished presentation.
- Transform complex or text-heavy information into clear visual formats, timelines, summaries, or other executive-ready materials when appropriate.
- Track action items, requests, and commitments to support timely completion and effective communication.
- Respond to executive requests and inquiries promptly and professionally, exercising sound judgment regarding priorities and escalation.
- Prepare, organize, and maintain confidential documents, records, and information with a high degree of discretion.
- Manage and submit expense reports and supporting documentation in accordance with organizational requirements.
- Assist with professional and, when appropriate, personal scheduling and logistical needs that support effective executive time management.
- Provide occasional administrative and logistical assistance with personal matters that may affect executive scheduling or availability.
- Provide administrative, logistical, and coordination support to operational leadership and broader team members as needed.
- Maintain a high level of professionalism, confidentiality, and discretion when handling sensitive information.
- Support occasional early morning, evening, or other non-standard hours when business needs require.
Minimum Qualifications
- High school diploma required; bachelor's degree in business administration or a related field preferred.
- 5+ years of progressive administrative or executive support experience, preferably supporting a C-suite executive or senior leader.
- Demonstrated experience managing complex executive calendars, competing priorities, and frequent schedule changes.
- Experience coordinating domestic and international travel, executive meetings, and organizational events.
- Experience handling confidential and sensitive information with a high degree of discretion.
- Experience preparing and editing executive-level correspondence, presentations, reports, and other business communications.
- Advanced proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
- Excellent organizational, time-management, communication, and problem-solving skills.
- Demonstrated ability to anticipate needs, exercise sound judgment, and proactively address issues.
- Ability to work independently while effectively partnering with executives, leadership, employees, and external stakeholders.
- Ability to adapt to changing priorities and work occasional early morning, evening, or other non-standard hours as business needs require.
