Special Events Coordinator (Remote)
Role Overview
Could you be our next Special Events Coordinator? Globe Life is looking for a Special Events Coordinator to join the team! In this role, you will be responsible for planning and executing Globe Life University events, providing marketing and event support for any and all Globe Life affiliate events including but not limited to submitting requests for event related materials, building and maintaining the event app, and providing pre and post event assistance as needed.
This is a remote / work from home position.
What You Will Do
- Complete project timeline; establish a workflow schedule with suppliers to facilitate prompt and accurate handling of all program details.
- Utilize Cvent software to manage program from contract turn-over to final bill.
- Manage and negotiate hotel needs, destination management company (DMC), air and all third-party contracts.
- Coordinate program details and produce a program itinerary/working agenda that outlines all specifics.
- Manage overall program budget, review and audit billing for accuracy. Track and report expenses; communicate changes regularly.
- Create and maintain project plans for Home Office events.
- Plan and execute Home Office events and activities.
- Enter Marketing Requests Forms for marketing materials based on project plans.
- Maintain projects and deadlines in Workfront.
- Responsible for creating, building, and maintaining the app for each event.
- Attend 2-3 conventions a year with an estimated 10% travel.
- Use CVENT to create and send emails, pull attendee lists and reports.
- Create and send surveys via CVENT for each event; collect results and build reports.
- Organize and send out all convention invitations.
- Organize and prepare registration packets for all applicable events.
- Collaborate with other departments on project needs and requirements.
- Coordinate internal and external action items on projects.
- Assist with any special events or projects, including planning, sourcing, ordering, and executing as needed.
What You Can Bring
- Bachelor’s degree.
- Strong Microsoft Office skills.
- Excellent communication skills within the travel & event marketing department, external departments, and vendors.
- 3+ years’ experience in event coordination.
- Onsite meeting execution and ownership.
- Strong project management skills.
- Ability to work independently.
- Attention to detail.
- Ability to work in fast-paced environments.
- Quick, thoughtful, and constructive problem-solving skills.
- High level of customer service.
