Job summary

Peak Physical Therapy, a Highbar Practice, is hiring a Site Coordinator in Massachusetts. The role supports daily clinic operations, onboarding administrative staff, scheduling PCCs and Exercise Specialists, and ensuring a high level of patient service and IT/facility upkeep.

The Site Coordinator will collaborate with the Practice Manager and Clinic Director to optimize efficiency, monitor key metrics, and manage patient interactions from scheduling to billing in a fast-paced outpatient setting.

Qualifications

• Administrative training and onboarding of staff
• Coordinate scheduling of PCCs and Exercise Specialists
• Promote clinic efficiency and effectiveness
• Manage daily service excellence in clinic operations and IT
• Communicate with physicians and insurance providers
• Maintain records, authorizations, and patient billing tasks

Responsibilities

• Train and onboard administrative staff and exercise specialists
• Coordinate PCC and exercise scheduling to ensure adequate administrative support
• Make and implement recommendations to improve clinic efficiency
• Oversee daily service excellence including facility maintenance and IT
• Monitor metrics like cancellations, no-shows, and authorizations
• Interface with insurance companies to obtain authorizations and track approvals
• Handle patient appointments, cancellations, and documentation in the EMR
• Process co-payments and run daily collection reports
• Produce weekly reports and dashboards (Affidavit, eligibility, active cases)
