Position Title Shipping/Receiving Warehouse Clerk

Position Summary
The Shipping and Receiving Warehouse Clerk will be responsible for incoming and outgoing shipments, verifying and maintaining records, preparing items for shipment and coordinating transportation arrangements. The Shipping and Receiving Warehouse Clerk reports to the Fixed Asset Specialist.

Job Duties
Receiving Packages/Freight Items
- Receive incoming shipments, verify contents against purchase orders or invoices.
- Inspect received goods for damages or discrepancies.
- Utilize SC Logic package tracking and inventory system to distribute and track assets.
- Work closely with carriers and suppliers on a daily basis, including but not limited to Fed Ex, UPS , DHL , Amazon, etc.
- Perform other duties as assigned.
Shipping
- Prepare outgoing shipments by assembling items, verifying quantities and packing securely for transportation.
- Generate shipping labels and ensure correct shipping documentation is included.
- Coordinate with internal departments and carriers to schedule pickups and deliveries.
- Provide shipment status updates and tracking information as needed.
Inventory Management
- Maintain accurate records of inventory levels and locations.
- Conduct regular inventory counts and reconciling discrepancies.
- Assist in the annual audit process of fixed asset tagging and required inventory items.
General
- Communicate effectively with vendors, carriers, and internal departments to resolve issues and ensure timely shipments.
- Adhere to safety protocols and guidelines in handling and storing materials.
- Ensure compliance with shipping and receiving regulations and procedures.
- Maintain a clean and organized work area.
- Maintain and update tracking system on all assets.
- Cross-train with colleagues to ensure best route process for daily campus runs.
- Deliver assets to departments via golf cart or UIW vehicle, as appropriate based on size of asset and the delivery location (including satellites).
- Inspect assigned vehicles daily for maintenance and safety concerns.
Qualifications
- Ability to work efficiently and multitask.
- Strong attention to detail to ensure accuracy in recording and documenting shipments.
- Clear and effective communication with supplies, carriers and internal departments.
- Proficient in basic computer skills.
- Ability to effectively work individually and within a team environment.
- Ability to learn and safely use pallet jacks, and potentially a forklift.
- Good problem-solving abilities.
- Ability to work effectively with individuals from diverse communities and cultures.
- Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA .
Required Education
High School diploma or GED equivalent.
Required Work Experience
At least three (3) months of experience in a warehouse or distribution environment or relevant area such as mail delivery, packaging, and inventory control. Office experience will be considered.
Preferred Qualifications
- Forklift and pallet jack experience.
- Familiarity with inventory management software and shipping platforms (e.g., UPS , FedEx, Amazon, etc.)
- Knowledge of safety regulations and procedures in a warehouse environment.
Required Certifications, Licenses or Registrations
Must have a valid driver license, driving record that is insurable by UIW insurance carrier, and be at least 21 years of age, as required to drive vehicles and golf carts for UIW .
Work Hours
Mon-Fri 8am to 5pm with occasional extended hours as needed to meet departmental goals.
Physical Demands
- Ability to lift up to 45lbs packages.
- Ability to reach overhead, bend, and squat to process ingoing/ outgoing shipments.
- Ability to push/pull pallet jacks, carts, and wagon holding up to 100 lbs +.
- May involve exposure to varying temperatures and loud noises, typical of a warehouse environment.
- Ability to regularly move about warehouse space and campus locations throughout the shift to process and deliver packages on main campus, as well as satellite locations.
- Ability to safely maneuver vehicles and golf carts during standard shift.
