Summary

Rubber Designs is seeking a highly organized, detail-driven Logistics & Inventory Coordinator to manage daily shipping activities and oversee inventory control at our main facility. This is a hands-on, role with an expected 50% in-office and 50% on-the-floor presence to ensure operational flow, real-time communication, and effective warehouse execution.
You'll be a key point of contact between Customer Service, Production, Materials, and external freight providers-helping maximize internal shipping opportunities, streamline processes, and maintain accuracy across all inventory and warehouse operations.

Logistics & Freight Coordination
  • Schedule and organize all daily outbound shipments for ARC and Rubber Designs
  • Communicate directly with internal teams and external freight carriers to ensure timely delivery and proper documentation
  • Coordinate with Sparton Enterprises daily to identify and implement internal freight coupling opportunities
  • Track and update shipment activity in TeamUp calendar and manage related paperwork (outbound, inbound, and inventory transfers)
  • Verify all inbound loads for proper reception and reconcile against purchase orders and shipping documents
  • Maintain all shipping and receiving paperwork for compliance and audit readiness
  • Verify that all daily departmental checklists are completed and delegated appropriately
Inventory & Warehouse Oversight
  • Manage daily, weekly, monthly, quarterly, and annual inventory counts
  • Lead housekeeping and warehouse organization tasks on a consistent schedule
  • Work with the Materials Department to manage trailer yard activity and inbound material staging
  • Assist in reconciling inventory with Customer Service and Procurement
Operational Planning & Support
  • Provide shipping demand forecasts to support staffing and resource allocation
  • Offer input on demand planning for future orders and production runs
  • Serve as a backup for Customer Service and collaborate on freight/inventory-related inquiries
  • Ensure all shipping and receiving activity is supported with accurate and timely paperwork
Safety & Compliance
  • Represent the Shipping Department on the company Safety Team
  • Maintain a clean and safe work environment and follow established safety protocols
Requirements:
  • 2+ years of experience in logistics, freight coordination, or warehouse operations
  • Forklift operator experience and ability to pass certification
  • Proficiency in Microsoft Outlook, QuickBooks, and TeamUp or other scheduling software
  • Strong attention to detail with excellent organizational and communication skills
  • Ability to thrive in both office and warehouse environments (50/50 split)
  • Comfortable lifting up to 50 lbs and working on your feet when needed
  • Other duties may be assigned by Manager or Supervisor.
