Responsibilities

• Manage daily autonomous vehicle scheduling and testing activities using internal scheduling tools.
• Coordinate vehicle transportation, testing site bookings and confirmations, and test equipment availability.
• Track resources and support planning to improve vehicle and asset utilization.
• Maintain scheduling documentation, spreadsheets, metrics, and records.
• Communicate schedule changes and follow up on action items with stakeholders across teams.
• Adapt processes to changing priorities and support additional team needs as required.

Job description

Expected compensation: 37.82 USD Per Hour

HireArt is helping an on-demand, autonomous ride-hailing company find a Service Scheduling Coordinator to support the day-to-day scheduling and coordination of its growing autonomous vehicle fleet.

In this role, you'll coordinate vehicle schedules, testing resources, site bookings, and equipment to ensure vehicles are available for the company's highest-priority missions and immediate testing needs. You'll work across teams to keep schedules organized, resources aligned, and daily fleet activities running smoothly.

The ideal candidate is highly organized, detail-oriented, and comfortable managing changing priorities in a fast-paced operational environment. You are proactive, dependable, and able to communicate effectively across technical and operational teams.

As a Service Scheduling Coordinator, You'll

• Manage daily autonomous vehicle scheduling and testing activities using internal scheduling tools, ensuring resources align with testing priorities.
• Coordinate vehicle transportation, testing site bookings and confirmations, and test equipment availability.
• Track resources and support planning activities to improve vehicle and asset utilization.
• Maintain accurate scheduling documentation, spreadsheets, metrics, equipment records, and Slack channels.
• Coordinate with internal and external stakeholders, communicate schedule changes, and follow up on action items to keep testing activities on track.
• Follow established processes while adapting to changing operational priorities and supporting additional team needs as required.

Requirements

• 1+ years of relevant industry experience
• Experience with scheduling, forecasting, planning, project coordination, or similar operational activities
• Strong organizational and record-keeping skills with excellent attention to detail
• Ability to prioritize competing demands, meet tight deadlines, and maintain strong follow-through
• Experience coordinating across technical, engineering, or cross-functional teams
• Strong written, verbal, presentation, and interpersonal communication skills
• Ability to coordinate logistics and resources across multiple projects, teams, or facilities
• Ability to work independently and navigate ambiguity in a fast-paced, high-pressure environment
• Proactive, resourceful, and willing to take on additional responsibilities to support the team
• Availability for off-hours calls as needed

Preferred Qualifications

• Experience coordinating operations within the autonomous vehicle industry
• Experience creating visualizations of KPIs, operational metrics, or program risks
