Job summary

HireArt is seeking a detail-oriented Project Coordinator, Regulatory Compliance in Austin, TX to own end-to-end vehicle registration, permitting, and ongoing compliance for an autonomous ride-hailing fleet.

You will operate at the intersection of Legal, Operations, Engineering, and Regulatory Affairs and translate regulatory requirements into reliable internal processes. The role emphasizes high-volume workflows and proactive tracking across teams.

Qualifications

• 4+ years of experience in compliance, regulatory operations, permitting, fleet management.
• Strong organizational skills and attention to detail with high-volume workflows.
• Clear written communication and cross-functional collaboration.

Responsibilities

• Manage vehicle registration and autonomous vehicle permitting across state and local jurisdictions, including initial applications, renewals, modifications, and decommissioning.
• Coordinate with Manufacturing and Operations to obtain documentation required for registration, including VIN verifications, MCOs, and vehicle inspections.
• Maintain accurate records of vehicle identification, registration status, and permit requirements.
• Track filing deadlines, renewals, and eligibility changes to ensure timely submissions.
• Support internal audits, external inquiries, and regulatory inspections with thorough documentation and traceability of filings.
• Partner with Legal and Regulatory Affairs to translate regulatory requirements into internal processes and controls.
• Work with Operations to anticipate registration and permitting needs for new markets and fleet expansion, including insurance, traffic citations, and tolls.

Expected compensation: 52.17 USD Per Hour

HireArt is helping an on-demand, autonomous ride-hailing company find a detail-oriented Project Coordinator, Regulatory Compliance to own the end-to-end process for vehicle registration, permitting, and ongoing compliance obligations.

In this role, you’ll operate at the intersection of Legal, Operations, Engineering, and Regulatory Affairs to ensure the autonomous vehicle fleet remains properly registered, authorized, compliant, and ready for deployment. You’ll manage critical filings and documentation while helping translate regulatory requirements into reliable internal processes.

The ideal candidate is highly organized and detail-oriented, with experience managing compliance, permitting, fleet, or other deadline-driven operational processes. You’re comfortable owning high-volume workflows, coordinating across teams, and proactively tracking requirements through completion.

As a Project Coordinator, Regulatory Compliance, You'll

• Manage vehicle registration and autonomous vehicle permitting activities across state and local jurisdictions, including initial applications, renewals, modifications, and decommissioning.
• Coordinate with Manufacturing and Operations to obtain documentation required for registration, including VIN verifications, Manufacturers Certificates of Origin (MCOs), and vehicle inspections.
• Maintain accurate records of vehicle identification, registration status, and permit requirements.
• Track filing deadlines, upcoming renewals, and eligibility changes to ensure timely submissions.
• Support internal audits, external inquiries, and regulatory inspections by maintaining thorough documentation and clear traceability of filings.
• Partner with Legal and Regulatory Affairs to understand regulatory requirements and translate them into internal processes and controls.
• Work closely with Operations to anticipate registration and permitting needs for new markets and fleet expansion while supporting day-to-day needs such as insurance, traffic citations, and tolls.

Requirements

• 4+ years of experience in compliance, regulatory operations, permitting, fleet management, or a similar function
• Strong organizational skills and comfort working with detailed, repeatable processes
• Excellent attention to detail with the ability to manage high-volume workflows and multiple deadlines
• Clear written communication skills and the ability to work effectively with cross-functional partners
• A proactive, ownership-oriented mindset with a willingness to learn autonomous vehicle-specific regulatory requirements and work in a fast-moving environment
• Ability to travel to other worksites as needed, including Dallas and San Antonio

Bonus Qualifications

• Experience working for a fleet manager, car dealership, automotive retailer, rental car company, or state Department of Motor Vehicles
• Working knowledge of regulatory frameworks governing vehicle registration, fleet operations, or autonomous vehicle permitting
