Job summary

CarMax is seeking a Service Operator to deliver outstanding customer service and support service processes before, during, and after repairs. You will be the friendly point of contact, handling in-person and phone interactions and coordinating with Service Consultants and Advisors to ensure a smooth, efficient experience.

This role requires strong communication, data-entry accuracy, and the ability to multitask in a fast-paced environment, including nights, weekends, and holidays.

Qualifications

• Strong customer service skills and the ability to communicate clearly with customers.
• Excellent telephone etiquette and active listening to ensure positive interactions.
• Ability to follow standardized service processes and maintain high satisfaction scores.
• Proficient data entry and basic computer skills including working with spreadsheets.
• Ability to multitask in a fast-paced environment while coordinating with cross-functional teams.
• Flexible to work varied shifts including nights, weekends, and holidays, while maintaining professionalism.

Responsibilities

• Respond promptly and professionally to all incoming service calls with a customer-first mindset.
• Assist Service Consultants and Customer Advisors with customer interactions to ensure seamless service experiences.
• Schedule service appointments and route calls and inquiries accurately.
• Deliver timely written messages to the appropriate team members for follow-up.
• Manage repair requests by coordinating appointments and reminding customers about upcoming appointments and parts arrival.
• Audit sublet invoices, loaner logs, and dealer tags to maintain CarMax compliance.
