Job summary

Hitachi Global Air Power is seeking a Service Coordinator to manage all incoming calls and emails related to service requests. You will review, reconcile, process, and close field service and shop operation jobs while supporting scheduling and technician assignments.

The role emphasizes collecting information, ensuring timely invoicing, and maintaining customer satisfaction through proactive communication and coordination with multiple departments.

Qualifications

• Associate’s degree a plus.
• High School Diploma or equivalent (Related Industry experience may be considered in lieu of education requirements).
• Minimum of 3 years’ experience with administration functions.
• Proficiency in Microsoft products.

Responsibilities

• Answer incoming calls to the service department and handle inquiries about work orders, jobs, and projects.
• Prepare service quotes based on internal and external customer needs.
• Schedule Service Technicians for service jobs and projects; target 85% billable rate or higher.
• Schedule service visits to meet PM Agreement commitments.
• Coordinate calls with customers via verbal and email communications to keep projects progressing and customer informed.
• Close field service and shop jobs: capture all required information, reconcile costs, submit work orders to accounting for invoicing; input data into ERP.
• Assist scheduling field and shop technicians to specific jobs or projects; track timecards and timeframes.
• Work with Parts Coordinators to determine costing and availability of outsourced parts for quotes and scheduling.
• Maintain regular communication with departments (Parts, Sales) and cover for teammates as needed.
• This role is dynamic and may evolve with business needs.
