TechPro Mechanical is seeking a Service Dispatcher to coordinate daily HVAC, refrigeration, and plumbing service calls from our Westfield office. You will schedule technicians, communicate with customers, and ensure work orders move smoothly from request to completion in a fast-paced environment.

Qualifications

• Experience in dispatching or service coordination preferred in HVAC, refrigeration, plumbing, or field service.
• Strong organizational and multitasking skills for a fast-paced environment.
• Excellent verbal and written communication abilities.
• Ability to stay calm and make quick decisions under pressure.
• Familiarity with dispatch software and common office tools.
• Experience with Service Fusion or similar field service management software is a plus.

We're looking for an experienced Service Dispatcher who thrives in a fast-paced environment, communicates effectively, and takes ownership of keeping our service operations organized and running efficiently.

Position Overview

The Service Dispatcher is responsible for coordinating daily service calls, scheduling technicians, communicating with customers, and ensuring work orders move efficiently from initial request through completion.

This is a critical position within our company and requires someone who is organized, proactive, detail-oriented, and comfortable managing multiple priorities.

Key Responsibilities

• Schedule and dispatch commercial HVAC, refrigeration, and plumbing service technicians.

• Coordinate daily service calls, emergency requests, and technician availability.

• Communicate professionally with customers regarding scheduling, arrival times, and service updates.

• Monitor technician progress and adjust schedules as priorities change.

• Create, update, and maintain accurate work orders in our service management software.

• Coordinate with Field Service Managers regarding technical issues, scheduling conflicts, and job requirements.

• Follow up on outstanding service calls and ensure timely communication.

• Help maximize technician productivity by reducing downtime and unnecessary travel.

• Work closely with the Office Manager to maintain efficient daily operations.

• Support a culture of accountability, teamwork, and excellent customer service.

Qualifications

• Previous dispatching or service coordination experience preferred, ideally in HVAC, plumbing, refrigeration, or another field service industry.

• Strong organizational and multitasking skills.

• Excellent verbal and written communication.

• Ability to remain calm and make decisions in a fast-paced environment.

• Comfortable using dispatch software, Microsoft Office, and other business systems.

• Strong attention to detail and follow-through.

• Ability to prioritize emergency service calls while managing scheduled work.

• Experience with Service Fusion or similar field service management software is a plus.
