Service AdministratorJob DescriptionAs a Service Administrator you will be responsible for supporting service operations by coordinating administrative tasks, managing service documentation, handling customer inquiries, and ensuring efficient scheduling of service work. This role requires strong organizational skills, attention to detail, and excellent communication abilities to facilitate seamless service delivery and customer satisfaction.Role and Responsibilities:Schedule and coordinate service appointments, maintenance calls, and repairs.In the absence of the Office Administrator, this role will be responsible for ensuring stock in kitchen and break rooms, restrooms and office supplies as well as answering the office phone and take accurate messages for employees as needed.Handle all purchasing requests that have a BuildOps Job number, regardless of whether there is a job number assigned or not. This role will also handle any additional purchasing needs related to the NC service department.Maintain accurate records of service activities, customer interactions, and technician schedules.Prepare and process service documentation, including BuildOps job reports, invoices, and service reports.Communicate with customers regarding service status, scheduling, and follow-up inquiries.Assist in managing service parts inventory, ordering supplies, and tracking shipments as needed.Will back up parts receiving and shipping as needed.Monitor service requests and escalate unresolved issues to appropriate personnel.Generate regular reports on service performance, customer feedback, and job completion.Support service technicians with administrative needs and resource allocation.Maintain up-to-date knowledge of GRC products, services, and procedures.This job requires in-office presence. Work-from-home opportunities must be approved in advance and on a case-by-case basis.Qualifications and Required Experience:Proven experience in an administrative, customer service coordination role.Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and service management software.Strong organizational and time management skills.Excellent verbal and written communication skills.Ability to multitask and work effectively under pressure.High school diploma or equivalent (associate or bachelor’s degree preferred).Familiarity with ERP or CRM systems.Physical Requirements:Sitting for extended periods of time.Manual dexterity for data entry, filing, writing and using office equipment.Must be able to read documents, computer screens, monitor email/messages regularly.Light walking within an office or facility to deliver paperwork, attend meetings, or assist other departments.Occasionally you may need to lift items such as supplies, small packages, or files boxes (typically up to 20-30 lbs.)Clear communication is essential for phone calls, in-person discussions and meetings.Ability to work in a typical office environmentGeneral Refrigeration Company.
