Job summary

VulcanForms is seeking a Staff Workplace Specialist to lead the execution of workplace infrastructure, vendor programs, and multi-site operations across our offices and manufacturing-adjacent facilities. You will partner with IT, EHS, People Operations, and Finance to ensure safe, scalable work environments, manage desk layouts, space planning, and procurement, while optimizing budgets.

Qualifications

• 8+ years of hands-on workplace services, facilities management, or office operations experience supporting multi-site environments.
• Bachelor’s degree in Business Administration, Facilities Management, Operations, or related field; equivalent practical experience in high-growth operational environments will also be considered.
• Advanced expertise in facilities vendor management, office buildout execution, space planning, and building infrastructure standards.
• Proven track record as a senior individual contributor who can independently drive complex projects, manage competing priorities, and maintain high standards across multiple locations.

Responsibilities

• Lead office buildouts and site readiness across locations, coordinating furniture, acoustics, IT/electrical needs.
• Manage vendor relationships, performance tracking, and service-level enforcement for facilities and office services.
• Establish and maintain workplace operating protocols, space planning guidelines, and daily readiness across offices and non-production spaces.
• Collaborate with People Operations, IT, Finance, and EHS to streamline onboarding and safety compliance.
• Monitor and optimize workplace budgets, vendor contracts, and facility maintenance projects.
