The Regional Maintenance Director is responsible for all aspects of a successful property maintenance program across the Broe apartment portfolio (~1,650 units). The successful candidate will have demonstrated experience managing a large team of maintenance technicians on luxury multi-family assets as well as a high degree of technical expertise of building systems operations and maintenance. A successful property maintenance program for Broe will be focused on both the highest level of customer service to our residents and be proactive as demonstrated by minimizing the downtime of all building functions. Specific areas of focus will include: preventative maintenance, fire and life-safety, building mechanical systems, ensuring the communities are in good working order and meet the Company’s standards for cleanliness, and the ongoing professional development of maintenance personnel.
This leader will be focused on managing and directing the onsite property teams to track and improve their effectiveness and efficiency. Responsibilities include developing improved processes for planning and managing service requests and/or renovation projects, scheduling of turns, ordering parts and maintenance supply inventory, capital and interior renovations projects, reviewing of capital scopes of work, negotiating pricing with vendors for bulk pricing of assets, reviewing and negotiation of vendor contracts prior to execution, and meeting with direct reports to provide direction and motivation. The Director also collaborates with the respective property Maintenance Supervisors to have requisite inspections and property walks completed, and meets with Owners, Asset Management, and/or Senior Leadership to provide recommendations and knowledge on capital, maintenance, renovation and maintenance related laws.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Manages maintenance responsibilities in a portfolio of properties and provides directions to property Maintenance Supervisors.
- Mentors and trains Maintenance Supervisors and Maintenance Technicians.
- Vendor Management – develop and/or maintain relationships with portfolio-wide vendors where possible to ensure the best customer service for our assets, i.e HVAC, Plumbing, Elevator, Landscape, etc.
- Establishes processes for daily property operations including unit turns, work orders, preventative maintenance programs, etc, to ensure high quality experience for the residents and efficient property operations.
- Works closely with senior leadership to develop action plans for maintenance operations.
- Stays current on the market to identify new and emerging trends in maintenance operations
- Responsible for recruiting and hiring when/where needed, attend local hiring events,
- Permit Management – Ensure all properties have current system permits: Generator, Pool, Conveyance, etc.
- Complete frequent property walks, surveying what's happening on each site and identifying what areas the maintenance teams can improve on
- Training and coaching of the maintenance teams including identify specialized training courses.
- CAPEX Leadership - assist Maintenance supervisors in completing large-scale capital projects
- Assists with the implementation and timely completion of preventative maintenance programs for each building including building systems as well as regular unit inspections (smoke detector inspections and battery replacement, filter replacements, leak inspections, pet and/or resident damage notifications, and appliance maintenance)
- Participates in the preparation of annual budgets
- Monitors property operating budgets for each site on a monthly basis
- Ensures compliance in regard to company programs, safety programs, OSHA, insurance and licensing programs, all regulatory programs and inspections
- Utilizes skills and experience to help troubleshoot and resolve a variety of issues with plumbing, electrical, HVAC, boiler systems, flooring, windows and more
SUPERVISORY RESPONSIBILITIES
- Directly oversees four (4) Maintenance Supervisors. Indirectly oversees a total team of 10-15+.
- Provides leadership, coaching, and feedback to all maintenance team members, ensuring that all assigned tasks are carried out in a timely manner.
- Works closely with and delegate tasks to Maintenance Supervisors to increase proficiency and provide you with the ability to focus on high-level items.
- Creates and executes procedural guidelines/checklists for all maintenance team members throughout the portfolio.
- Plans and executes weekly maintenance meetings and safety trainings.
- Participates in training community associates in BRES policies, procedures, Standards of Excellence, core service values, community standards and job performance requirements
- Identify company standards of upkeep, maintenance quality or skill levels that need to be improved.
- Organizes frequent 1:1’s with Maintenance Supervisors to ensure that they are setup for success, has a forum to discuss challenges, successes or concerns, and is provided with a clear and concise development plan.
- Utilizes Dayforce (performance review software) on an annual basis to create goals, provide mid-year performance updates, and hold meaningful conversations with team members throughout the process.
- Consult with RPM and community managers on performance reviews for community maintenance associates.
- Addresses any performance-related issues in a timely manner, communicating with property managers throughout the process.
- Recruits, reviews resumes and interviews with potential candidates to fill vacancies, as needed.
QUALIFICATIONS & COMPETENCIES
BASIC
- High School diploma or equivalent
- 8 – 10 years’ experience in a multi-family maintenance supervisory role. A minimum of 5 years with regional/multi-site responsibilities.
- Strong knowledge and experience with HVAC systems, elevators, electrical, plumbing and fire life safety building systems.
- Experience working in a high-rise community preferred
- Ability to lead, coach, train, and develop on-site maintenance teams
- Previous direct oversight of maintenance and make-ready process
- Knowledgeable of city, state, and federal codes related to multifamily housing
- Must maintain a valid driver’s license.
- Must be able to provide proof of eligibility to work in the U.S
PREFERRED
- HVAC/EPA/CPO certifications
- Familiarity with Denver area vendors and job market a plus
