Job description

Job Title: Senior Master Schedule and Records Coordinator


Department: FAES | Academic Program Administration


Under the direction of the Assistant Dean of Academic Affairs within the College of Food, Agricultural, and Environmental Sciences (CFAES), this position serves as the primary operational lead for the college's master schedule of course offerings on the Columbus campus. The role is responsible for managing course scheduling activities within the Student Information System (SIS), coordinating course offerings with academic units, ensuring compliance with university and college curricular requirements, and serving as a key liaison with the University Registrar.


This position provides expert guidance and training to academic unit scheduling personnel, supports the implementation of new scheduling processes and technologies, manages instructional space scheduling, and contributes to broader Academic Programs initiatives through technical, reporting, and records-related support.


Key Responsibilities

Course Scheduling and Academic Operations (75%)


  • Serve as the primary administrator for the CFAES master schedule of course offerings within the Student Information System (SIS).

  • Coordinate course scheduling activities with academic departments and schools, ensuring course offerings align with approved curricula, academic plans, and university policies.

  • Maintain, update, and audit course offerings to ensure accuracy, compliance, and adherence to established university and college requirements.

  • Provide guidance, training, and procedural support to academic unit scheduling contacts and faculty involved in course scheduling and development.

  • Collaborate with academic units to resolve scheduling conflicts, identify scheduling solutions, and implement course changes and new course offerings.

  • Act as a central liaison between CFAES, the University Registrar, Ohio State ATI, and university scheduling partners to support coordinated academic scheduling activities.

  • Independently analyze and resolve routine and complex scheduling issues using established policies, procedures, and professional judgment.

  • Lead or support implementation of new scheduling systems, platforms, processes, and procedures; develop and deliver training for faculty, staff, and scheduling coordinators.

  • Manage scheduling processes for assigned instructional and general-assignment classroom spaces, including classroom utilization and event scheduling.

  • Develop, maintain, and enhance web-based scheduling resources and related documentation for faculty, staff, and academic units.

  • Support continuous improvement efforts related to course scheduling, catalog management, and academic operations.


Academic Programs Technical and Records Support (25%)


  • Provide administrative and technical support to Academic Programs initiatives.

  • Support student records processes, program assessment activities, data management, and reporting functions as assigned.

  • Participate in special projects that support college academic affairs priorities and operational effectiveness.

  • Perform other duties as assigned in support of Academic Programs.

  • Travel within the state of Ohio and occasional evening or weekend work may be required.


Required Qualifications


  • Bachelor's degree or equivalent combination of education and experience.

  • Minimum of four (4) years of relevant professional experience.

  • Demonstrated experience coordinating complex processes, managing data systems, and working with multiple stakeholders.

  • Strong organizational, analytical, problem-solving, and communication skills.

  • Ability to interpret and apply policies, procedures, and academic regulations.

Preferred Qualifications


  • Four to eight (8) years of progressively responsible experience in higher education administration, academic operations, scheduling, student services, or related areas.

  • Experience working with student information systems, curriculum management systems, or university scheduling platforms.

  • Advanced degree in a related field.

  • Experience implementing process improvements, system enhancements, or organizational change initiatives.

  • Knowledge of university curriculum, registration, scheduling, or academic policy processes.
