Job summary

Ivy Living in Hawaii Kai is seeking a Move-In Coordinator to ensure a smooth transition for new residents and to support the Marketing Department with events and inquiries.

You will conduct tours, qualify prospects, prepare paperwork, and maintain the Resident Directory, helping new residents settle into their new home.

Ideal candidates have a high school diploma, are proficient in MS Office, and enjoy working with seniors; background checks and health screenings are required.

Qualifications

• High school diploma or equivalent required.
• Prefer one year of experience working with seniors, ideally in senior housing.
• Proficient in MS Office programs (Word, Excel).
• Knowledge of assisted living and dementia care helpful.
• Able to work with seniors and communicate patiently.
• Flexible, adaptable, able to handle change and prioritize tasks.
• Must pass Criminal Background check and Health Screening tests (including TB).
• Vaccination/health screening may be required per regulatory guidelines.

Responsibilities

• Know the property's product and services to accurately represent it to referrals and prospects.
• Give community tours as needed and provide marketing information per process.
• Qualify prospects, convert to tours, and convert tours to deposits using the sales process.
• Assist with organizing, planning, and managing all marketing events.
• Attend resident, family inquiries, and referral events inside and outside the community.
• Serve as liaison for residents and families, ensuring a smooth transition for new residents.
• Follow the new move-in checklist completely and accurately.
• Prepare all paperwork and build the new resident administrative file.
• Create and maintain the Resident Directory.
