Job summary

Jobtailor is recruiting for a US-based logistics specialist to manage high-volume import/export shipments across multiple modes. You will coordinate with suppliers, customers, brokers and forwarders to ensure on-time delivery and compliance with regulations.

The role requires handling documentation (invoices, COO, AES), planning domestic transports, and KPI reporting. Strong IT skills and experience in defense/aerospace sectors are a plus.

Qualifications

  • Bachelor’s degree in Logistics, Supply Chain Management, International Trade, or related field.
  • Proven experience handling high volume import/export shipments in the US from A to Z.
  • Experience with international freight forwarders, domestic carriers and brokers.
  • Experience in defense/aerospace/advanced manufacturing is a plus.
  • Familiarity with Incoterms, ITAR, and export/import documentation.
  • Knowledge of US customs processes and ERP systems.
  • Proficiency in Microsoft Office, especially Excel.
  • Strong communication, analytical, and problem-solving skills.

Responsibilities

  • Manage high volume shipments across air, ocean and road modes.
  • Coordinate shipments with suppliers, customers, forwarders and brokers.
  • Track orders from placement to final delivery.
  • Coordinate customs clearance with brokers and authorities.
  • Prepare documents: Commercial Invoice, Packing List, COO, AES, and licenses.
  • Monitor regulatory compliance for US and international rules.
  • Plan and book domestic transport (FTL, LTL, Express).
  • Handle temperature-controlled and hazardous shipments when required.
  • Manage exceptions and disruptions; act as liaison with freight forwarders.
  • Prepare monthly KPI reports on on-time delivery and costs.
  • Identify cost savings and process improvements.
  • Follow up on claims for damage, loss or delays.

Job description

  • Manage high volume shipments across multiple transportation modes (air, ocean, road)
  • Coordinate shipments with suppliers, customers, freight forwarders, and customs brokers
  • Follow up on orders and shipments from order placement through final delivery
  • Manage and coordinate customs clearance with brokers and relevant authorities
  • Handle required documentation, including Commercial Invoice, Packing List, COO, AES Filing, and Export Licenses, in coordination with the Import/Export Manager
  • Monitor compliance with US and international regulatory requirements
  • Plan and book domestic transportation services, including FTL, LTL, Express and dedicated solutions
  • Coordinate pickups and deliveries with suppliers and customers
  • Handle temperature-controlled shipments, hazardous materials and special equipment when required
  • Manage exceptions, delays and operational disruptions during transportation
  • Serve as the primary point of contact between the facility and the freight forwarder
  • Prepare monthly KPI reports covering on-time delivery performance, delivery and customs clearance lead times, transportation costs, freight budget compliance, minimum shipments, and volume-to-weight ratio
  • Identify cost-saving opportunities and process improvement initiatives
  • Manage and follow up on claims related to damage, loss or late shipments
Requirements
  • Bachelor’s degree in Logistics, Supply Chain Management, International Trade, or a relevant field (preferred)
  • Proven experience in managing high volume import and export shipments in the US from A to Z
  • Experience working with international freight forwarders, domestic carriers and customs brokers
  • Experience in the defense, aerospace or advanced manufacturing industries - significant advantage
  • Experience handling temperature-controlled shipments and hazardous materials (preferred)
  • In-depth familiarity with international freight forwarding processes and Incoterms
  • Knowledge of Department of State, Commerce, license exceptions, ITAR, ability to read / interpret exporters/importers documents
  • Knowledge of US customs processes
  • Knowledge of Cargowise and ERP systems
  • Full proficiency in Microsoft Office, Outlook, with an emphasis on Excel
  • High service orientation and ability to work with multiple interfaces
  • Ability to work under pressure and meet tight deadlines
