Job summary

Stanford University Libraries is seeking a full-time Facilities Operations Specialist 3 to join the Facilities & Planning team in Palo Alto. This role oversees building operations, maintains safety, and coordinates maintenance across complex facilities.

Strong MEP knowledge, blueprints interpretation, and CIP experience are essential. The position reports to the Sr Associate Director of Facilities & Planning and requires a bachelors degree and five years of related experience.

Qualifications

• Bachelors degree required.
• Five years of related facilities management experience.
• Analytical skills to track space, equipment and financial data.
• Interpersonal skills for interacting with faculty and vendors.
• Experience reading blueprints/floor plans.

Responsibilities

• Serve as operations/maintenance point of contact for complex facilities; initiate work requests and monitor completion.
• Manage maintenance and renovations budget; coordinate routine maintenance services and contracts.
• Handle property administration: tagging, data entry, inventory, PO processing.
• Implement facility security programs: keys, access, cameras, alarms; manage access schedules.
• Coordinate space management: moves, space inventory, utilization, planning.
• Oversee and supervise staff engaged in maintaining the physical environment and building systems.
• Coordinate communications services: network admin, desktop support, telephony liaison; notify occupants.
• Coordinate space planning and moves for minimal disruption; space allocation tracking and budgeting.
• Project coordination: tasks within department projects; budgeting and scheduling.
• Safety management: corrective actions, chemical inventory, disposal, emergency preparedness.
