Job summary

Stanford University Libraries seeks a full-time Facilities Operations Specialist 3 to manage building operations, safety, and refurbishment activities across multiple facilities. You will read blueprints, diagnose incidents, coordinate maintenance, and support CIP initiatives while ensuring regulatory compliance and efficient space utilization.

This individual contributor role reports to the Sr Associate Director of Facilities & Planning, requiring 24/7 incident readiness, budget monitoring,

Qualifications

• Bachelor’s degree required.
• Five years related, demonstrated technical facilities management experience, or a combination of education and relevant experience.

Responsibilities

• Serve as property operations/maintenance point of contact for complex facilities; initiate work requests, monitor completion, manage budget, coordinate routine maintenance and inspections.
• Perform condition assessments, analyze results, establish preventive maintenance plans, coordinate utility usage and optimization, coordinate and approve contract work with vendors.
• Handle property administration including tagging, data entry, inventory, purchase orders, receiving, and records.
• Develop security programs: distributing keys, building access, monitoring access records, updating security infrastructure as needed.
• Coordinate projects: organization, scheduling, budgeting, and implementation for small, local projects.
• Serve as safety management coordinator: conduct root cause analysis, track corrective actions, manage chemical inventory and hazardous waste disposal, support safety training.
• Coordinate communications services and space management activities including moves, space inventory, allocation tracking, and capital planning input.
• May oversee and supervise staff engaged in physical environment and building systems.
