This role goes beyond calendar management, acting as an extension of the CEO to manage priorities, coordinate operations, and support Board activities.

Ideal candidates will have 10+ years of experience with senior executives, exceptional organizational and communication skills, and the ability to handle confidential information with discretion.

Our client, a growing, venture-backed biotechnology company in Philadelphia, is seeking an experienced Executive Business Partner / Executive Assistant to support its CEO. This is a highly visible role for a polished, proactive professional who thrives in fast‑paced executive environments and enjoys serving as a trusted partner to senior leadership. This opportunity goes well beyond traditional calendar management. You'll become an extension of the CEO, managing complex priorities, coordinating executive operations, supporting Board activities, overseeing office administration, and ensuring the CEO can focus on leading the business.

This is an ideal opportunity for a seasoned Executive Assistant who enjoys operating at a strategic level while remaining hands‑on with the day‑to‑day responsibilities that keep an organization running smoothly.

What You'll Do
  • Serve as the primary Executive Business Partner to the CEO, managing complex calendars, competing priorities, and executive communications.
  • Coordinate extensive domestic and international travel, including detailed itineraries and last‑minute schedule changes.
  • Anticipate executive needs, solve problems proactively, and ensure seamless day‑to‑day operations.
  • Prepare executive meeting materials, presentations, briefing documents, and correspondence.
  • Support Board of Directors meetings by coordinating logistics, preparing materials, and managing follow‑up activities.
  • Manage highly confidential information with exceptional discretion and professionalism.
  • Oversee office operations, including administrative processes, supplies, onboarding coordination, and general office management.
  • Assist with contract coordination, document management, and organizational follow‑through.
  • Provide administrative support to additional senior leaders as the organization continues to grow.
  • Build trusted relationships with internal leadership, Board members, and external stakeholders.
What We're Looking For
  • 10+ years of experience supporting CEOs, founders, or other senior executives.
  • Experience serving as a trusted Executive Assistant, Executive Business Partner, or Senior Executive Assistant.
  • Exceptional organizational, prioritization, and problem‑solving skills.
  • Strong executive presence with outstanding written and verbal communication abilities.
  • Proven ability to manage multiple priorities while maintaining exceptional attention to detail.
  • Comfortable working independently and making sound decisions with minimal direction.
  • Advanced Microsoft Office skills, including Outlook, PowerPoint, Word, and Excel.
  • Ability to maintain confidentiality while supporting sensitive executive and corporate matters.
Preferred Qualifications
  • Experience within biotechnology, pharmaceutical, healthcare, medical device, or other life sciences organizations.
  • Previous support of Board of Directors meetings and executive governance activities.
  • Experience supporting executives with significant domestic and international travel.
  • Familiarity with contract coordination and document management.
  • Experience working in a startup, venture‑backed, or high‑growth company environment.
