Qualifications

• 2+ years of full-time experience in event operations, preferably in high-end venues.
• Proficient with Salesforce for data input, tracking, and basic reporting.
• Strong attention to detail and ability to manage multiple events simultaneously.
• Excellent communication and gravitas when engaging with stakeholders.
• Proactive ownership and solutions-focused mindset.

Responsibilities

• Logistics & Execution: Assist with the logistical planning, coordination, and flawless execution of high-touch virtual and in-person gatherings (including a high volume of curated dinners).
• Timeline Management: Develop and manage rigorous logistics timelines for multiple parallel events, ensuring critical paths are met.
• Cross-Functional Collaboration: Partner with internal cross-functional teams to ensure master guest lists, operational data, and event deliverables are aligned and updated.
• Collateral Development: Assist in developing and managing premium event-related collateral (e.g., welcome cards, menus, maps, and detailed event flow plans).
• Data & Systems Management: Utilize Salesforce to input event costs, manage invoices, monitor spend against codes, and leverage data reporting to improve efficiency.
• Vendor & Venue Relations: Conduct site visits to secure locations and maintain premium global vendor relationships.
• Onsite Operations: Travel to gatherings and programs to manage onsite logistics, packaging, unpacking supplies, and storage spaces.
• Trend Sourcing: Keep pulse on new restaurants, hotels, and global experiences to contribute to the team’s portfolio.
