Job description

A well-regarded, multi-office California law firm is seeking an experienced, detail-oriented E-Billing Coordinator to join its finance department.

This full-time, on-site role is pivotal to the firm’s revenue cycle, with a central emphasis on billing operations, third-party payer compliance, and electronic portal submissions. The ideal candidate will combine deep legal billing expertise with hands-on proficiency in navigating complex insurance carrier billing guidelines, UTBMS coding, and high-volume e-billing appeals.

Key Responsibilities

• Insurance Carrier Compliance & Prebills: Review, edit, and audit monthly prebills against strict carrier Litigation Management Guidelines (LMG) and Outside Counsel Guidelines (OCG) to minimize initial rejection rates.
• End-to-End E-Billing Submissions: Prepare, format (LEDES), validate, and upload electronic invoices across primary third-party platforms.
• Carrier Appeals & Deduction Recovery: Proactively review line-item carrier reductions, short pays, and rejected submissions. Investigate root causes, draft compliant resubmissions/appeals, and recover disputed revenue.
• Complex Rate & Split Billing Administration: Oversee complex insurance billing arrangements, including multiple carrier splits, fee caps, task-based budgets, and carrier-specific rate schedules.
• Billing System Management: Utilize Aderant Expert and BillBlast to monitor invoice lifecycles from generation through carrier approval and payment clearance.
• Attorney & Carrier Liaison: Partner with billing attorneys to ensure compliance with carrier guidelines before invoices leave the firm, educating timekeepers on disallowed entries (e.g., administrative overhead, block billing).
• Reporting & Analytics: Generate monthly realization, aging work-in-progress (WIP), and carrier-specific deduction trend reports for firm leadership.

Candidate Qualifications

• Experience: 5–10+ years of dedicated legal billing experience in a law firm setting, with a proven track record handling insurance defense matters or carrier billing workflows.
• Direct experience with BillBlast (or equivalent e-billing vendor integration software).
• Extensive exposure to major insurer portals (e.g., Tymetrix 360, CounselLink, Legal Tracker/Serengeti, Acuity, e-BillingHub).
• Enterprise Accounting Software: Practical proficiency in Aderant Expert (or comparable enterprise legal billing platforms like Elite 3E).
• Insurance Guideline Acumen: Thorough command of UTBMS phase and task codes (specifically litigation codes L100–L500), LEDES file formats (98B, 98BI), and common carrier compliance rules (block-billing restrictions, travel caps, staffing limitations).
• Appeals Mastery: Demonstrated ability to reverse carrier fee deductions, write formal appeals, and remediate technical submission rejections.
• Software: Solid working knowledge of MS Office (intermediate Excel skills including VLOOKUP and pivot tables).

Work Environment & Physical Requirements

• Schedule & Location: 100% on-site role at one of the firm’s offices (Cerritos, Pasadena, or Irvine). Standard 40-hour workweek with periodic overtime required during month-end and fiscal year-end close.
