Job description

Haight Brown & Bonesteel LLP is a California litigation firm with a long-standing practice defending insurers and their insureds. The firm is seeking an experienced Accounts Receivable and eBilling Appeals Specialist to independently manage invoice reductions and appeals, and to oversee receivables from invoice submission through payment application.

This position is responsible for resolving reductions, not routing them. When a carrier reduces an invoice, the specialist will research the file, locate the supporting documentation, and prepare and submit the appeal. Attorneys will be consulted only when the file itself does not answer the question. This position reports to the Accounting & Finance Manager and works closely with firm partners, attorneys and the billing department.

This position requires work on-site at our downtown Los Angeles office

  • Independently own the appeals process from initial review through final resolution. The specialist is expected to research and respond to reductions directly rather than forwarding them to attorneys for action.
  • Research the matter file in NetDocuments to substantiate each appeal.
  • Prepare clear, persuasive, well-documented appeals that apply each client’s billing guidelines, and submit them before every applicable deadline.
  • Monitor invoice status across client and carrier eBilling platforms, including Legal-X, TyMetrix 360, Collaborati, CounselLink, and Legal Tracker, and promptly address rejections, reductions, and short payments.
  • Maintain a comprehensive appeals log tracking status, outcomes, recovered amounts, and aging.
  • Analyze reduction trends by client, timekeeper, and task code, and recommend improvements to timekeeping, matter setup, and billing practices.
  • Reconcile tender dates with invoicing and matter records to ensure billing periods, rates, and coverage positions are accurate before submission.
  • Conduct collections on aged receivables, including communication with adjusters and claims professionals, escalation of delinquent accounts, and regular aging reports to attorneys and firm management.
  • Post and apply payments in Elite 3E and reconcile receipts to bank deposits.
  • Assist with client and carrier audits, including preparing documentation and responding to auditor inquiries.

Examples:

  • Locating prior authorization correspondence when a reduction cites lack of approval.
  • Reviewing the underlying document, such as a deposition notice with extensive PMQ categories and document requests tied to a dispositive motion, to show why attorney-level work was required when a carrier asserts the task should have been performed by a paralegal.
  • Retrieving and submitting the actual work product when a carrier challenges the time billed.
Qualifications:
  • Minimum of three years of law firm experience in eBilling appeals, billing, or collections. Experience at a law firm with an insurance defense practice experience is strongly preferred.
  • Demonstrated ability to review litigation documents, including pleadings, discovery, deposition notices, and correspondence, and use them to support an appeal.
  • Working knowledge of insurance carrier billing guidelines, LEDES formats, and UTBMS task and activity codes.
  • Proficiency with Elite 3E or Aderant. Experience with NetDocuments, eBilling Hub, or BillBlast is preferred.
  • Advanced Excel skills, including experience in pivot tables, lookup functions, and aging analysis.
  • Self-directed, with sound judgment and the initiative to resolve issues without close supervision.
  • Excellent written communication skills, with the ability to prepare persuasive, well-supported appeals for claims professionals and auditors.
  • Experience using automation or AI tools to improve billing or receivables processes is a plus.

Competitive benefits package including medical, dental, vision, FSA options, a 401(k) retirement plan, and life & long-term disability insurance.
