Job summary

IMPACT (Swell) seeks an experienced operations leader to own Swell’s end‑to‑end operating system across multi‑account campaigns. You’ll drive planning, approvals, and client communications, ensuring deadlines and capacity are balanced.

You’ll groom sprints, maintain templates, and collaborate with the Ads Team Lead and Director of Agency Services to optimize cross‑team operations. Remote US role with competitive salary.

Qualifications

• 4+ years running multi-account project or operations management inside an agency.
• Understanding of how paid campaigns are built and launched.
• Proficiency with ClickUp; familiarity with Asana/Basecamp/Trello.
• Ability to maintain quality and meet deadlines.
• Experience building or rebuilding processes; not just following existing ones.
• Clear written communication; able to deliver updates concisely.
• Ability to recognize capacity risk and plan accordingly.

Responsibilities

• Manage campaign lifecycle across all active accounts.
• Run the full ClickUp workflow per account from planning to launch.
• Confirm kickoff details and identify gaps before launches.
• Own internal review checkpoints; assets cleared before client delivery.
• Support recurring client calls; update agendas and decisions.
• Manage approval cycles and surface revisions for sign-off.
• Set and reset client expectations when timelines slip.
• Groom the sprint to protect billable hours.
• Flag capacity risk before deadlines; surface friction patterns.
• Maintain templates and ClickUp automations; document workflows.
• Onboard new team members; partner with Ads Team Lead and Director.
